Responsibilities
Specific duties include:
- Maintaining calendar and posting online calendar events
- Managing Division Heads’ calendars
- Reviewing web and print communication and blast emails before publishing or posting
- Coordinating schedules for visitors, candidates, photo days, etc.
- Maintaining supply and copy room
- Purchasing and distributing playground equipment as needed (balls, sand toys, etc.)
- Managing summer orders for all faculty
- Managing event logistics, including invitations, catering, supplies etc. for retreats, meetings, conferences, division parties, Back To School Nights, etc.
- Providing support for 8th Grade activities, including portraits and preparing Step-Up diplomas and programs
- Providing support for student events, such as Halloween events, Division events,, Book Fair, etc.
- Providing support for standardized testing program by coordinating the ordering, shipment and logistics of test materials, maintaining score records and preparing electronic files for release to families
- Managing Upper School Electives
- Maintaining electronic and paper files as needed
- Facilitating report card edits
- Performing general office administrative duties, such copying, creating signs, files and booklets, etc.
- Monitoring and implementing systems to follow up on student attendance school-wide
- Covering recess duties
- Providing duty and classroom coverage
- Attending Faculty and Division Meetings, campus events and assemblies and meeting with Division Heads as needed
- Providing administrative support for the Director of Diversity, Equity and Inclusion, including scheduling meetings, making copies, managing photos and social media posts, and supporting logistics of DEI-related events, such as National Service Day and SF Pride Parade.
- Researching and booking external venues for faculty/staff and DEI-related meetings or events
- As a member of Office Staff group, participating in all school mailings, meetings, special events (e.g., Grandparents Day & Graduation) as needed
- Responding to parent, faculty/staff and student requests as needed
