Connelly School of the Holy Child is a Catholic, college preparatory school, committed to the intellectual, spiritual, artistic, physical, and social development of young women in grades 6 through 12. The school emphasizes academic challenge, joy of learning, and education of well-rounded women of faith and action.
This position will support the Head of School with day-to-day items and will also serve as the Secretary to the Board of Trustees.
Responsibilities Include:
- Coordinate the Head of School’s schedule and calendar
- Answer phone calls, take messages, screen and route calls to Head of School
- Assist Head of School to manage workload, act as a gatekeeper and schedule appointments and meetings
- Assist the Head of School in the daily operations of the school by providing complex and confidential administrative and secretarial support
- Communicate information on behalf of the Head of School to the administration, faculty, staff, parents, and local community
- Handle Head of School’s mail, respond to routine matters, prepare responses (when necessary), proofread, edit, and distribute all outgoing correspondence
- Manage Head of School’s filing system
- Create and edit correspondence and other documents
- Prepares remarks and presentations for Head of School in coordination with Communications
- Maintain a wide variety of complex manual and electronic documents, files, records and databases to provide up-to-date information and/or historical references for various stakeholders
- Keep the Head of School informed of critical information to ensure the flow of communication through the school day
- Prepare all travel arrangements/documentation for Head of School and visiting guests, as directed by the Head of School
- Reconcile monthly credit card statements as directed by the Head of School
- Coordinate preparations for Head of School before any functions
- Maintain confidentiality of information and documents
- Research information to assist the Head of School with decision-making
- Maintain positive relationships with and accurate contact information for accrediting agencies, Network schools, independent schools, and more
- Ensure deadlines are met and requests for information/action from internal and external sources are responded to appropriately and in a timely fashion
- Maintain and update action list for Head of School
- Support the Head of School in preparation for Board meetings, administrative meetings, faculty/staff meetings, and other important meetings
- Work with Executive Team to coordinate workflow, facilitate projects and schedule meetings as necessary
- Provide high-level secretarial assistance to the Board; in collaboration with Board Chair and the Head of School, prepare agenda and take minutes for Board meetings; prepare drafts and summary notes for Board meetings; manage the board portal; send out and track meeting invites; disseminate board meeting materials; send out approved meetings notes to executive members in a timely manner; and organize Board retreats
- Member of the Prospect Management Team to assist with Head of School’s scheduling, prompt contact entry and follow-through with annual fundraising and future campaigns
- Support Head of School in cultivation and solicitation assignments in coordination with Development office.
- Maintain excellent external working relationships with members of the Board of Trustees, administrative and faculty staff, community members, donors, parents (current and past) of students, alumnae, high school and college/university presidents and other administrative officers of secondary institutions and colleges/universities.
- Assume responsibility for special research and other projects as directed by the Head of School
- Other duties as assigned by the Head of School
Qualifications & Skills:
- Bachelor’s degree or equivalent experience from accredited college or university
- A minimum of five years of experience in executive-level support positions, preferably in other schools
- Outstanding organizational skills
- Exceptional written and oral communications skills
- Microsoft Software efficient (Outlook, Word, PPT, Excel)
- Flexibility and initiative, as well as the ability to work independently, combined with the skills for thriving in a collaborative environment
- High professional and ethical standards for handling confidential information
- Ability to organize and complete multiple tasks simultaneously with close attention to detail and prioritization to meet deadlines
- Must present professional image on phone and in person
- Previous experience working with a Board of Trustees preferred
