Job Summary
Under minimal supervision, acts as main point of contact for the school community (parents and students). Coordinates daily and yearly administrative responsibilities in the main office, cares for students while in the main office, and provides support to administrators.
Specific Responsibilities
- Serves as the first point of contact in the main office
- Answers inquiries, coordinates with parents, staff, and vendors via phone, email, and in-person
- Tracks and maintains daily student, staff, and vendor presence on campus; provides attendance reports to the Assistant Head of School as needed
- Communicates with parents when a child is absent, and coordinates with parents and teachers when a student arrives late or is picked up early
- Manages and maintains student and staff emergency contact list, and creates, disperses, and updates student emergency contact list and student medical condition and allergy lists
- Tracks and administers student medications
- Provides injury and illness treatment and reporting
- Completes and tracks health and safety forms
- Stocks and disperses first aid and emergency supplies
- Coordinates with parents and teachers concerning special medical needs for students
- Tracks and maintains student immunization records
- Coordinates and schedules safety drills and trainings, including monthly safety drills (earthquake, active shooter, etc.), yearly staff CPR and first aid training, and mandatory reporting training
- Manages and monitors school security system and cameras, and coordinates with the Business Operations Manager to file police reports as necessary
- Oversees day to day school activities including assigns lockers and setting up parent-teacher conference registration
- Assists faculty with student Chromebook coordination, including setting up devices, distributing devices to classrooms, troubleshooting issues, and cleaning and storing devices
- Coordinates with Extended Day and Administrative Associate to purchases supplies such as snacks, office supplies, all-school supplies
- Manages school’s student database (Blackbaud)
- Establishes and cultivates community relations by maintaining open dialogue with all of the school’s constituencies
- Actively participates in the full life of the school
- Vigorously engages in professional development; demonstrates a commitment to life-long learning by enhancing their skills, and embracing innovative technologies and creative thinking
- Is familiar with and complies with all policies and regulations as put forth in the school’s documents
- Takes all necessary and reasonable precautions to protect students, faculty, staff, equipment, materials, and facilities
- Performs other duties as assigned
Required Education and Experience
- High school diploma or GED required, bachelor's degree from an accredited four-year college or university preferred
- 2+ years’ office management experience in a fast-paced, customer-service oriented environment
- 2+ years’ experience working with school-aged children and their families, including management of child health and safety
- Current certification in Adult, Child, and Infant CPR and First Aid
- Experience working in an independent school preferred
