Position Summary:
The Assistant/Associate Director of Alumnae Engagement & Stewardship helps foster lifelong
relationships between and amongst Baldwin’s 4,000 alumnae and reports to the Director of Alumnae
Engagement. The assistant director is responsible for the planning and execution of a yearly calendar
of alumnae events, recruitment and management of alumnae volunteers (class secretaries and
reunion volunteers), creating and managing an annual stewardship calendar, and assisting with
alumnae communications. This role is also responsible for collaborative planning and coordination
of the department’s stewardship and donor relations program, including recognition events,
stewardship reporting, and memorial gifts. This position is the primary point of contact for all
alumnae inquiries and requests. As a key member of the advancement team, this position with also
assist the team with meeting the strategic and philanthropic goals of the School.
Essential Duties and Responsibilities:
Projects and Events
- Plan and executes key alumnae events on campus (Homecoming, Thanksgiving Assembly
Gathering, Young Alumnae Day, Legacy Luncheon, and Senior Luncheon). Oversee event
communications, invitations/registration, reminders, guest lists and event briefings - Assist the Director of Alumnae Engagement in planning and executing Alumnae Weekend
and serve as lead staff member for reunion planning committees - Work collaboratively with enrollment team to welcome and engage prospective legacy
students and families - Work collaboratively with the Advancement Events Coordinator to plan and execute
recognition events for donors to further affinity among all constituents - Lead donor recognition projects, including memorial gifts, plaquing and digital recognition
activities - Provide logistical support for national and local alumnae board meetings
- Assist with the planning and execution of local and virtual events as needed
Volunteer Management
- Manage all outreach and communications to current class secretaries/agents, while also
recruiting new volunteers as needed - Assist with management of assigned reunion class volunteers, including committee
recruitment, managing class mailings and partnering closely with the Director of Alumnae
Engagement on calls and planning as necessary for Reunion annually
Stewardship
- Produce engaging donor reports in collaboration with front line fundraisers.
- Provide writing
and communication support, including drafting high-level acknowledgments, impact reports,
and other donor relations communications pieces as needed - Manage annual faculty staff professional development and enrichment grant, including
application process, scheduling selection committees, collecting impact reports from award
recipients - Manage scholarship donor reporting cycle and personalized stewardship process for
scholarship donors, including programming support for any scholarship events.
Communication
- Assist with the development and preparation of alumnae newsletters
- In partnership with the Marketing and Communications Office, assist with developing
content for the bi-annual magazine, Echoes and collect and review class note submissions
- Bachelor’s degree required
- Strong commitment to the Baldwin School mission and full support of single-sex education
- Minimum of 2-3 years of relevant event planning/ volunteer management/fundraising
experience preferably within an educational or non-profit setting - Solid relationship-building skills to promote effective work relationships with colleagues and
Baldwin School constituents - Self-motivated to implement new procedures and ideas
- Excellent organizational, communication and planning skills for balancing multiple projects
and responsibilities simultaneously - Familiarity with technology related to the position including: Constant Contact, Raiser’s
Edge, Zoom, and social media platforms a plus - Proficiency in Microsoft Word and Excel with mail merge experience
- Ability to work nights and weekends as needed
