Coordinator for Student Programming
Summary: The Coordinator for Student Programming is responsible for providing high level support to the School Life team and to work collaboratively with the Director of Global Engagement to provide management and support to all global and community-based programming. This position is responsible for the management of several day to day operational tasks as well as higher level project based tasks.
The person in this role must possess good judgment and be comfortable communicating with students, parents, faculty and staff colleagues and various outside constituents such as program leaders at outside organizations, security advisers, partner schools, travel agents, etc.
Essential Duties and Responsibilities include but are not limited to the following: General Duties:
- Provide general and project based support to the School Life Team
- Work collaboratively with and provide general support to the Director for Global Engagement
- Manage and process all student leave requests (REACH)
- Serve as Designated School Official for SEVIS
- Maintain annual Program Budgets for Global Programming and Community Outreach
- Oversee the AOM forms process
- Assist with student enrollment forms
- Assist with Opening Days programming and student check-in
- Manage School provided bus transportation and sign ups
- Assist with Student Attendance
Community Engagement:
- Manage and track all student volunteer hours
- Assist in coordinating school-wide service-related activities
- Aid in facilitating ongoing relationships with outside organizations through active engagement and listening.
- Manage the Community Engagement sections of the SPS website.
- Coordinate and assist students with the completion of special project applications.
- Support students with all necessary volunteer agency paperwork
- Coordinate transportation for students to and from Community Engagement projects.
- Coordinate with the Registrar and Dean of Studies to inform students and advisers of progress toward graduation requirements.
Travel Programs:
- Assist in evaluating existing and potential new programs under consideration.
- Manage all aspects of the application process; tracking applications received, reminders, deadlines, results, and communications.
- Provide support in coordinating details of all Global Programming (language/cultural and service) including transportation logistics, program leader support, insurance, itinerary, preparatory meetings, permission forms, etc.
- Determine trip expenses and fees for each program for the full pay and financial aid students.
- Communicate with parents regarding trip cost, passport, visa, immunization, insurance, payment amounts and timeline, trip rules, financial aid policy concerning trips, etc.
- Work with a travel agent and/or transportation and accommodation providers to book required travel (may include air, ground, hotel, vehicle rentals). Book other transportation as required (buses, cars, etc.)

Education and/or Experience: Associate’s Degree or higher; and five years related experience and/or training in a responsible secretarial position; or equivalent combination of education and experience.

Comments: Must be experienced and have a pleasant, professional manner; and excellent interpersonal skills, with the ability to communicate and interact effectively with all levels.
Must have the ability to work independently.
Must be a self-starter.
Must be highly organized and detail-oriented with excellent organizational and recordkeeping abilities.
Must have the ability to prioritize and organize workload to meet deadlines; ability to
analyze information to arrive at an appropriate solution.
