Position Summary: Supports Head of School and Business Operations by providing administrative support and coordination.
Essential Functions:
The essential duties and responsibilities of this position include, but are not limited to, the following:
Reception
-
Answers incoming telephone calls, determines purpose of call, and forwards calls to appropriate personnel or department; Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable
-
Retrieves messages from voice mail and forwards them to appropriate personnel
-
Answers questions about the organization and provides callers with address, directions, and other information
-
Keeps current by reviewing the school calendar, school website, and other relevant sources in order to provide callers and visitors with the most accurate information
-
Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
-
Works with security to monitor visitor access, including deliveries, and issues passes when required
-
Administers front desk emergency procedures when needed
-
Updates In/Out Board regularly
-
Receives, sorts, and routes mail
-
Key operator for postage, copier and fax equipment in the Administration building; Monitors and orders office supplies as needed
-
Performs other clerical duties as needed, such as filing, photocopying, and collating and school store

Collect payment for library books, tuition, etc.
Business Office
-
Security contact for authorized pickup
-
Stamps and logs checks as needed
-
Responsible for balancing cash banks for school lunches
-
Assists Business Office with assembling backup documentation for audits
-
Creates and processes Purchase Orders and Check Requests as needed
-
Create and provide carpool passes
-
Assist HR with clerical duties as assigned
-
Creates HR files and provides assistance as needed
-
Processes business card and name tag requests from HR
-
Work with HR/ IT to ensure all new hires are set up Blackbaud and Google mail
-
Provide visitor badge to all visitors
-
Complete all Background check forms
Head of School Assistance

Schedules meetings for Head of School
-
Schedules conferences and occasional conference travel

Screens Head of School calls and directs to appropriate party
-
Prepares expense reports, check requests, and purchase orders

Schedules and arranges donor cultivation lunches and dinners in concert with Director of Advancement

Manages monthly Board meeting refreshments and accommodations
-
Manages and stocks Admin Break Room
-
assures daily supply of coffee, water, cups

places orders when needed

Other administrative tasks as required by Head of School
Advancement

Assists with various tasks for special events, such as registration, mailings, etc.

Expense reports, PO processing, and check requests for Advancement and PA

Qualifications:

Language Ability – Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization

Computer Skills – To perform this job successfully, an individual should have knowledge of Word Processing software, Publishing software, Spreadsheet software, and Internet software and be comfortable with emerging technologies
Education & Experience:
-
High School graduation or other equivalents (i.e., GED, college, technical, or trade school transcript, foreign equivalency, etc.)

Three (3) years of secretarial/clerical experience involving public contact
-
Verified keyboarding competence and knowledge of correct grammar usage
