Mayfield Junior School seeks an Advancement Services Coordinator to be an integral part of the Advancement Team. The Advancement Services Coordinator has primary responsibility for the school’s Raiser’s Edge database, using it to its fullest capacity for research and reporting.
ESSENTIAL DUTIES AND RESPONSIBILITIES
DATABASE MANAGEMENT
- Responsible for the management, control, integrity, and accurate maintenance of the prospect and donor database, Raiser’s Edge
- Maintain donor stewardship records, both electronic and hard copy
- Create queries, exports, and reports, including customized reports as needed
- Educate and engage Advancement staff in the optimal use of data processing and report generation to promote best practices
- Develop, prepare, and analyze regular reports on donors and prospects for the Advancement Office staff, Head of School, and Board of Trustees as needed
- Maintain data integrity across Blackbaud platforms, online school directory and RE
- Establish and implement control systems to ensure data integrity
- Provide analysis and strategic planning data for annual, major donor, board solicitation, and ability to create fund, campaign, and appeal programs
- Event tracking and reporting
GIFT PROCESSING
- Responsible for processing and tracking all gifts and pledges; producing timely acknowledgment letters and pledge reminders; and creating mailing lists, appeals, and Annual Reports – work with the accounting team to reconcile Raiser’s Edge records with the general ledger, fund balances, and fundraising reports
- Process credit card gifts through Diamond Mind, as needed
- Responsible for all acknowledgement processes, including employer-matching gift programs and donor-advised funds requirements
PROSPECT RESEARCH AND MANAGEMENT
- Supports the prospect research needs for the Advancement Office
- Manage annual wealth screening as well as ongoing identification and research on identified prospective donors
- Analyze donor and prospect data and provide recommendations to Advancement Director
OTHER
- Participate in reflective, self-directed, on-going professional development
- Participate in staff meetings, liturgies, retreats, school assemblies, and special events as needed
- Maintain the department’s supplies, files, and bulk mail account and records to meet printing needs
- Execute bulk printing needs of the Advancement department including merged letters and envelopes
- Organize and manage event registrations including check-in lists and nametags
- Provide administrative support to the Director of Advancement, as needed.
- Other related duties as assigned
REQUIRED QUALIFICATIONS:
- Bachelor’s Degree
- Minimum 3 years experience administering relational database management systems (RDBMS) and other information systems in an educational or non-profit environment
- Skill in strategic database segmentation
- Familiarity with Crystal Reports in Prospect/Events/Tribute modules in Raiser’s Edge
- Proficiency with Microsoft Word, Google Suite, Excel
- Excellent written and verbal communication skills
- High level of organization and ability to prioritize tasks
- Extraordinary attention to detail
- Strong interpersonal skills and demonstrated ability to connect with all members of the community and ability to creatively solve problems by working collaboratively with stakeholders

PREFERRED QUALIFICATIONS:
- Previous experience in an independent school setting
- Experience in alumni relations, annual giving, capital campaigns, special events and/or constituent relations preferred
- Experience in crystal reports or other report development
SUPERVISORY RESPONSIBILITIES
Position does not have supervisory responsibilities.
EQUIPMENT USED
Operates standard office equipment: computer, 10-key, copier, telephone, check scanner, and other related equipment. Uses Raisers Edge, Microsoft Office, Google Suite, Word, Excel, PowerPoint, Access, Adobe, Photoshop, and Crystal Reports.
LANGUAGE SKILLS
Ability to read and interpret accounting and general office documents. Ability to write basic business correspondence, and memos. Ability to interact effectively with school officials, other employees, parents and students, volunteers, visitors, and representatives from other organizations.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, and percentages.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
