Executive Assistant to the Head of School
Berkeley Carroll is a Pre-K through grade 12 college preparatory school of almost 1000 students located in the Park Slope section of Brooklyn in New York City. Our vibrant learning environment draws students from all over the city. Admission to the school is competitive and both our parents and students value achievement and community.
The Berkeley Carroll School is seeking an experienced Executive Assistant to the Head of School starting mid August 2022. The ideal candidate will have a positive approach and the ability to learn quickly. The individual must be able to work efficiently and under pressure at times, handling a wide variety of activities and confidential matters with discretion.
Responsibilities include, but are not limited to:
- Manage an extremely active calendar of appointments and plans, ensuring that the Head of School’s schedule is followed and respected.
- Work closely and effectively with the Head of School to keep them well informed of upcoming commitments and responsibilities as well as emergent issues at the school, following up appropriately and updating as necessary
- Provide a “gatekeeper” role for direct access to the Head of School’s time and office, prioritizing effectively.
- Schedule meetings, internally and externally, by working effectively with colleagues, Board members, parents and students
- Manage multiple tasks simultaneously and prioritize appropriately
- Answer, screen and route phone calls as appropriate
- Assist with email organization and correspondence as necessary
- Organize/scan office records and files
- Organize special annual and seasonal events (e.g., annual faculty and staff picnic, new employee welcome events, etc.)
- Organize all board and board committee meetings for the school year and provide set up (rooms, catering etc. ) as needed for in person meetings
- Liaise with the board chair and board committee members and be the point of contact for all Board inquiries as well as upload all Board documents including Board book into Diligent
- Interact daily with the business office for reimbursements, purchase orders, AMEX reconciliations, etc.
- Use Veracross, Brightly, and Diligent software
- Assist with tracking meeting requests and needs for various Boards of which HOS is a member
- Assist with sabbatical visits, and school visits
- Assist with hiring workflow by posting and uploading job descriptions on various sites and tracking hiring
- Assist with ad hoc projects, as needed
Requirements:
- Bachelor’s degree required
- 5-10 years experience in an executive assistant role, school experience preferred
- Strong knowledge of G-Suite including Google Drive and Microsoft Office including Word, Excel and PowerPoint
- Strong communication and writing skills
- Proactive and motivated approach with a “can do” attitude
- Excellent time management skills
- Ability to work under time pressure with an attention to detail and commitment to excellence
- Self-motivation and the ability both to take initiative and to accept responsibility
- Team player approach, with the ability to cultivate relationships among all members of staff, faculty, directors and board members
- Ability to be discreet and maintain confidential information
- Capacity to take a resourceful, proactive approach and ability to stay one step ahead
- Upbeat and confident personality who enjoys developing interpersonal relationships
- Adaptability, flexibility, dependability and accountability
