Admissions Administrative Assistant
Trevor Day School is seeking an organized and energetic person to work full time as part of the Middle & Upper School Admissions Team, which includes the Director of Enrollment Management and Middle & Upper School Admissions and Tuition Assistance, and two Associate Directors of Admissions.
Candidates should have strong communication and interpersonal skills, and the ability to manage a high volume of ongoing inquiries and applications from families. Candidates should be comfortable with databases, and flexible in learning and developing new systems.
The Administrative Assistant will report directly to the Director of Enrollment Management and Middle & Upper School Admissions and Tuition Assistance. This is a twelve-month position, with occasional evenings and weekends during the school year.
Responsibilities include:
- Provide primary administrative support for the Middle & Upper School Admissions Team.
- Lead the process of scheduling events, student/parent interviews, and tours for applicants and their families. Communicate with applicant families by phone, email, and mail. Must relate well and respond promptly and effectively to questions/requests from applying families.
- Respond promptly and effectively to families, schools, and testing organizations in order to secure required application materials and complete applicant files.
- Manage Admissions Database. Create, organize, and maintain applicant files and process details within the Admissions database.
- Assist and collaborate in planning, coordinating, and implementing Middle & Upper School Admissions events.
- Prepare decision letters/emails. Communicate complex information to the Business Office. Follow detailed procedures during the decision process.
- Manage functions/operations of the department, including supplies, ordering, and its organization.
- Contribute to the life of the Middle & Upper School as a community member.
Requirements:
- Bachelor’s degree
- Strong communication, organization, and interpersonal skills
- Respect for confidentiality within the office and the Admissions process
- Comfort and confidence with technology, including managing data on multiple databases: Google Docs, Excel spreadsheets, and other platforms.
- Ability to be flexible and reflective in a fast-paced, multifaceted office
- Willingness to build strong working relationships as a team member.
