The Middle School Admissions Associate reports to the Director of Enrollment Management and works
closely with the Assistant Director for Middle and Upper School admissions. The Middle School
Admissions Associate is a full-time seasonal position working primarily Monday – Friday from midAugust to April annually, with the possibility of evolving into a regular full-time position for the right
candidate.
The primary focus of this position is to support and maintain connections, build relationships, follow-up
with prospective families, provide overall communication, outreach and event planning/execution to
deliver the retention and new enrollment objectives for the Middle School.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Recruitment Management:
Data and Enrollment Management System (EMS)
• Maintains EMS database to include:
o Entering and managing all inquiries and applicant information in the EMS.
o Follow-up on all steps in the overall application process to ensure that applicant files are
complete and ready for review at the appropriate time.
o Ensures EMS use is optimized and that all candidate information and communication is
documented accurately and efficiently.
• In coordination with the admissions staff, ensures that all candidate files (transcripts, test scores,
and referrals) are completed on time.
Event Strategy, Logistics and Execution
• Works in collaboration with the Admissions Coordinator to plan and oversee strategies that
enhance student experience during Middle School Visiting Days, Open Houses, and other related
events. Ensures that event logistics are executed satisfactorily.
o Connections – uncover and connect visitors with appropriate faculty, coaches,
administration, and administrative office to ensure an individualized experience and
increase/strengthen the various RPCS networks.
o Coordinate faculty interview schedules for all student visitors.
• Collaborates with the Director of Enrollment Management, admissions staff, and academic
divisions and faculty to plan and execute all applicant events during the application season and all
accepted student events after admissions notifications are delivered.
Outreach, Marketing and Communication
• Serves as a primary point of contact for prospective Middle School students and their families.
• Delivers exceptional customer service at all times.
• Collaborates on social media, marketing, and outreach efforts to drive inquiry generation for the
Middle Schools.
• Develops strategy for business development to further the reach of the RPCS community and
fosters networks of key constituent stakeholders to drive the reach.
o This includes expansion of geographic reach/exposure, diversity of applicant pool, and
work to solicit referrals from current families and other key stakeholders from within the
RPCS community.
Retention Management:
• Collaborates with Lower School Head for transition from Lower to Middle School.
• Plans and implements all student retention strategies for the Middle School (particularly rising 6th
and 9th grade) for both students and parents throughout the school year.
REQUIRED SKILLS/ABILITIES:
• Must have excellent verbal, written and interpersonal skills.
• Demonstrate strong analytical and problem-solving abilities with a talent for exercising good
judgment and finding creative solutions.
• Must have outstanding organizational skills and ability to manage and prioritize multiple projects
in a fast-paced environment. Pays great attention to details.
• Motivated self-starter and works well in a collaborative environment and independently with
minimal supervision.
• Excellent computer skills, including proficiency in MS Office (Outlook, Word, Excel, and
PowerPoint) is required. Experience with school Enrollment Management System (Blackbaud
OnBoard) preferred.
• Willingness to work some extended hours, night and weekends, as business needs require.
• Must have valid driver’s license for picking up event-related materials and occasionally attend
local recruitment fairs and professional development programs in the employee-owned vehicle.
• Must be able to act with integrity, be professional and maintain discretion and confidentiality.
• As a condition of employment, all employees hired after August 1, 2021 are required to be fully

EDUCATION AND EXPERIENCE:
• Bachelor’s degree in a related field, Master’s degree preferred or any combination of education
and experience that provides the required skills and ability.
• Minimum of two years of related job experience. Experience in an academic or admissions
setting highly desired.
PHYSICAL REQUIREMENTS:
• Requires ability to sit at a desk and use standard office equipment, such as computer and phone, for
prolonged periods.
• Frequently required to stand, walk, and reach with hands and arms, use hands to finger, and talk or
hear.
• Must be able to ascend/descend stairs and access all areas of the school campus
• Occasionally work outdoors.
• Must be able to climb or balance; stoop, kneel, crouch or crawl, turn, bend, reach, push, pull, and
lift up to 30 lbs.
