Job Summary:
Francis W. Parker School is a renowned JK-12th grade independent day school. Founded in 1901 on the tenets of progressive education, the school currently enrolls 945 students and employs 200 dedicated faculty and staff members who, in addition to assistant teachers, substitute teachers and coaches, work together to ensure that the School lives up to its Mission to “educate students to think and act with empathy, courage and clarity as responsible citizens and leaders in a diverse, democratic society and global community.”
We are currently seeking an Admission Coordinator to join our Admission Team. Reporting to the Director of Enrollment and Financial Aid, the Coordinator is responsible for managing the database and admission inquiries and applications submitted to the School. The Coordinator serves as the primary point of contact and ongoing resource for prospective families. The Coordinator also provides general administrative support and calendar facilitation for the entire Admission Office.
Essential Functions:
- High volume data entry and primary database management (Ravenna, Blackbaud, Calendly)
- Inquiry and applicant stewardship and management
- Use discretion and maintain confidentiality in the admission process
- Front office management and visitor reception with a strong customer service orientation
- Warmly welcome and communicate with a diverse range of prospective families
- Admission Office calendar and communications coordination and management
- Admission Team scheduling, notices, meeting notes and agenda management
- Participate in Admission Office team events
- Attend outreach events (i.e., school fairs, presentations) and conduct interviews as needed
- Work collaboratively with team members in operations and project management
- Preparation and maintenance of accurate lists, spreadsheets, and email communications
- Update website information
- Assist with research and preparation of reports of admission data
- Admission file maintenance, status audits and document uploads
- Learn about the school’s mission, approach, programs, and events
- Update the Team on school wide events
- Coordinate campus visits
- Volunteer and faculty coordination and communication
- Support and participation in the overall admission process
- Coordinate Covid protocol communications
- Availability for occasional evening and weekend events
- Other duties as assigned by the Director of Enrollment and Financial Aid

Required Qualifications:
- Bachelor’s Degree (strongly preferred)
- A minimum of three (3) years of educational admission office or transferable customer service and database management experience
- Proficiency with computers and technology: Word, Excel, Gmail required
- Proficiency with Ravenna, Blackbaud, Calendly (or comparable databases)
- Bi-lingual Spanish or Spanish speaking proficiency strongly preferred
- Independent school and Admission Office experience strongly preferred
- Demonstrated ability to use discretion and manage confidential information
- Well-developed sense of empathy, cultural competency, and boundary-setting
- Ability to establish priorities and handle multiple tasks simultaneously
- Superior customer service skills and positive, friendly demeanor
- Ability to communicate clearly
- Strong work ethic and consistent in-office attendance
- Self-motivated with the ability to demonstrate initiative
- Exceptional organizational and independent problem-solving skills
- Demonstrated success at managing constituency relationships
- Interest in the admissions/enrollment management profession
