Latin has an exciting opportunity for an aspiring administrative professional to be our Assistant to the Chief Development Officer. This person will provide essential operational support by: managing the workflow of the Chief Development Officer; coordinating various board and other volunteer committees; and assisting with high-touch donor stewardship.
This is a full-time, in-person position reporting to the Chief Development Officer. This position also works in close collaboration with the full Development & Alumni Relation Department, as well as with leadership across departments. This position holds various occasional night and weekend responsibilities around alumni and development events.
Primary Duties and Responsibilities
- Serve as the assistant to the Chief Development Officer, supporting all operational functions of the Development department, including but not limited to:
- Provide high-level administrative support to the Chief Development Officer including calendar management, composing correspondence, arranging itineraries, compiling meeting documents and agendas, proofreading, completing expense reports, creating/maintaining accurate electronic and hardcopy files, and other administrative tasks as needed
- Coordinate all elements of on-site Development-led meetings
- Aid the full department, as needed. Functions may include additional scheduling, filing, copying, scanning, proofreading, and creating department-wide tools to track gifts and deadlines
- Support various volunteer groups involved in fundraising. This includes, but is not limited to Board committees (Development, Nominations & Government, Strategy & Data), other volunteer-led efforts (Event co-chairs, Annual Giving Ambassadors, and Parent Association Volunteers), and alumni volunteers when requested. These responsibilities include:
- Coordinate meetings and preparing all related notifications and materials, both hard copy and electronic
- Assist School leadership with the annual board renewal process
- Produce various fundraising tools for volunteers
- Track board giving and provide regular reports to the Chief Development Officer to assist in the solicitation process
- Conduct research for prospective board members and board candidates as needed
- Record minutes and notes as requested
- Coordinate high-touch cultivation and stewardship opportunities for the Schools lead donors and stakeholders. This includes:
- Tracking birthdays, anniversaries, and graduations of key donors/their children and communicating these life events to the Chief Development Officer and other School Leadership
- Writing or creating reports/updates for special gifts
- Provide support for specialized entertaining opportunities for or hosted by lead donors
- Serve as a visible and enthusiastic representative of the School at various functions and events
- Other duties as assigned
Required Education and Experience:
- Bachelors degree or equivalent
- At least three years fundraising or office management experience required
- Proficiency with Microsoft Office Suite, especially Excel and Word
Required Skills & Abilities:
- Strong written and oral communication skills
- Highly organized and capable of managing multiple projects simultaneously while having the ability to shift work seamlessly when priorities change
- Ability to work both collaboratively and independently to best serve the department
- Sound listening skills and attention to detail
- Ability to function well in a high-paced environment
Preferred Education and Experience:
- Bachelors degree
- Prior experience using CRM software, preferably Raisers Edge
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer
