Job Summary
The Advancement Services and Prospect Research Coordinator at Oxbridge Academy will assist the Director of Giving & Alumni Relations and the Director of Advancement to plan and execute donor relation strategies and tactics with the goal of raising fundraising support for Oxbridge Academy. The position is responsible for research on funding opportunities; writing and submitting program related grants and reports (including corporate, foundation, government, and individual proposals); maintaining the grants database and grants reporting calendar; and maintaining and managing the relationships with prospective donors as assigned by the development team. The position builds relationships at all levels of the organization, collaborates with various colleagues and departments, and assists the development team in other fundraising activities, such as events and individual donor engagement. The Advancement Services and Prospect Research Coordinator reports directly to the Director of Giving & Alumni Relations, overseen by the Director of Advancement.
Essential Duties and Responsibilities
Foundation and Grants Management (50%)
- Under the supervision of the Director of Giving and Director of Advancement, identify organization-wide funding needs to support Oxbridge Academy through annual fund efforts and long-term sustainability efforts through comprehensive capital campaigns.
- Develop and maintain a thorough understanding of all current and past grant relationships.
- Write letters of intent for corporate, foundation, individual, and government grant proposals; prepare supporting documents in response to requests for proposals; adapt existing proposals as necessary; and deliver all submissions ahead of deadlines.
- Prepare and submit correspondence related to grant applications and other donor relations.
- Maintain up-to-date files and grants database for the tracking of grant proposals, renewals, deadlines, and execution. Follow up on grant decisions, map out steps to build stronger proposal/relationships.
- In conjunction with development and communication teams, maintain accuracy, uniformity, and consistent messaging in submission of all grant documents and donor communications.
- Build realistic timelines and turnaround times for content that meets the needs of all relevant members providing content.
- Maintain a portfolio of grants and foundation relationships and serves as the primary point of contact.
- Responsible for driving and documenting the moves management process for other key members with direct relationships to major donors.
Prospect Research (30%)
- Identify new opportunities, actively utilizing multiple research tools to complete comprehensive research on both prospective individuals, corporations, and foundations.
- Keep detailed records of research, develops initial proposal based on research, and presents next action steps.
- Collaborate with the Director of Giving & Alumni Relations and Director of Advancement to maintain a comprehensive inventory of renewable and new funding opportunities in line with the development plan.
Reporting (15%)
- Act as liaison with the programs department on program goals, student/program data, evaluation systems and results, and changes to program content and delivery.
- Assist the programs department in analyzing and presenting student and evaluation data in ways that are appropriate for donors.
- Ensure report compliance for all grants. Provide writing and editing support to program managers, communications team, and development team.
- Ensure all online donor search engines have accurate data and an up-to-date organization profile.
- Use database to inform grant status and progress toward goals, both informally and via reporting documents.
Other Activities (5%)
- Support other development staff when directed, in activities such as events, individual donor solicitation, and department-wide projects.
- Perform other duties as assigned.
Skills
- Business acumen and strong technology skills, Microsoft Suite proficient, utilization of SIS and CRM systems in fundraising, wealth and foundation research software.

Qualifications
- Bachelor’s degree or equivalent work history required.
- Three + (3+) years of proven success in foundation grant proposal writing and foundation research, preferably in non-profit and fundraising setting.
- Exceptional written communication skills with attention to detail.
- Excellent computer skills and ability to use the internet as a research tool.
- Familiar with wealth and foundation research software such as FoundationSearch, iWave, Veracross, Raiser’s Edge or similar CRM database software preferred.
- Ability to work and meet deadlines in a fast-paced environment.
- Familiarity and strong belief in the value of private education and experiential learning a plus.
