Job Summary
Reporting to the Associate Director of Advancement, the Advancement Associate serves as the primary administrative support for WIS’s fundraising team, and will work in partnership with colleagues in Annual Giving, Data Services, Special Events, and Alumni & Constituent Relations to advance philanthropy at WIS. By helping to sustain continued growth in WIS’s philanthropy, the Advancement Associate supports the School’s mission to be an exemplary learning community—informed through inquiry, enriched by differences, global in reach.
Duties and Responsibilities
The Advancement Associate is a full-time, year-round position, with key responsibilities outlined below. The Associate Director of Advancement may assign additional duties in support of School objectives.
- Assist with donor stewardship processes, including generating and distributing gift acknowledgements/receipts, and managing regular stewardship assignments while ensuring timeliness and accuracy.
- Provide support for Advancement-related events and manage post-event projects such as analysis of event data and metrics.
- Provide support for the WIS Annual Auction for Financial Aid, including developing community emails and social media content, soliciting Online Auction donations, and tracking Auction support.
- Assist with budget management processes, including invoice processing and payments.
- Assist in developing Annual Giving and other print and digital communications and supplemental materials.
- Provide logistical support for alumni events, both local and out-of-town.
- Assist with data entry, database maintenance, and the production of periodic analyses and reports, including but not limited to the Advancement End-of-Year Analysis, WIS Annual Report, and annual submissions to the National Association of Independent School’s DASL (Data & Analysis for School Leadership) database.
- Assist with preparing the agenda for weekly Advancement Team meetings and maintaining the shared team calendar.
- Serve as liaison between the Advancement Team and Communications/Marketing Team to coordinate all outgoing Advancement-related communications.
- Conduct research and produce background materials and lists for Advancement meetings and events.
- Provide customer service to internal staff members and external constituents such as donors and/or alumni.
- Provide other Advancement related administrative support including ordering supplies, preparing meeting materials, and other duties as assigned.
- Bachelor’s Degree plus 1-3 years relevant experience required, or a combination of education and experience including, but not limited to, donor relations, fundraising, special events, strategic communications, business development, marketing.
- Proficiency with Microsoft Office suite (Word, Excel, PowerPoint).
- Familiarity with Raiser’s Edge or similar donor management software a plus.
- Ability to prioritize, meet deadlines, work effectively under pressure, and pay attention to detail.
- Very strong written and oral communication skills.
- Willingness to improve professional skills, knowledge, and understanding of WIS by developing relationships with colleagues across campus, attending campus events and activities and participating in School-wide activities.
- Ability to work occasional evenings and weekends as needed in support of Advancement initiatives and events.
