Administrative Assistant for the Middle School Office, St. Martin’s Episcopal School
This is a full-benefit, non-exempt position that reports to the Head of Middle School. Although supervision and guidance are furnished by the division head, independent judgment is expected in the performance of job duties. This individual will be responsible for a full range of secretarial duties to assure smooth functioning of the Middle School office and some additional responsibilities for the office. Successful execution of this secretarial role requires a commitment to task and the ability to perform routine operations in a manner consistent with established policies and procedures set forth by the School and Division Head. The Administrative Assistant is expected to maintain successful and positive interactions with various segments of the school community in a courteous, cooperative, and informative manner.

Principal Duties / Responsibilities:
- Act as a knowledgeable receptionist: greeting and assisting students, parents, and visitors.
- Answer telephone: direct calls and messages.
- Answer emails in a timely manner.
- Make appointments for Division Head as needed and help maintain Head’s calendar.
- Coordinate meetings and help with clerical duties for Dean of Students (who reports to MS and US Heads)
- Type letters, memos, and correspondence.
- Maintain supply of all in-house forms. Maintain office files.
- Prepare, coordinate, and execute mailings.
- Process incoming and outgoing mail and fax transmissions.
- Run errands on/off the campus as needed.
- Coordinate with other divisions and offices as necessary.
- Interact with maintenance and housekeeping as needed to accomplish special requests and coordinate efforts of custodial personnel.
- Coordinate with the Business Office relative to purchase orders, invoices, budgets, and end-of-year inventory records, etc.
- Provide appropriate support and clerical assistance for parent conferences, open houses, special events, fire drills, performances and ceremonies.
Provide clerical support to execute division plans and coordinate with other offices for the following:
- Summer mailings to students, parents, and faculty.
- Opening and end of school routines and special needs.
Required:
- High school diploma.
- Three-five years of office experience, preferably in an educational or service environment.
- Advanced knowledge of Google Suite tools, including Google Docs, Sheets, and Slides.
