Founded in 1947, St. Martin’s is a co-educational independent day school serving PK through 12th-grade students. The School seeks an Administrative Assistant to the Upper School Division Head. The ideal candidate will enjoy working in a school environment and interacting with high school students, parents, and faculty. The person in this role works closely with and provides high-level administrative support to the Head of the Upper School by managing the office’s daily operations, acting as the first level of communication with stakeholders, and performing various managerial and organizational duties, including those of a confidential nature.
This is a non-exempt, year-round, full-time (7:45 a.m. to 4:00 p.m. with very limited weekend or evening work) position. Salary is competitive with independent schools in the area. RESPONSIBILITIES
- Provide support for the Upper School students, faculty, and families
- Coordinate the Upper School internal and external calendars with the school-wide calendar, working to eliminate conflicts
- Manage messages for the Upper School Division Head in a timely, supportive, and efficient manner
- Monitor the Upper School Division Head’s calendar, schedule meetings as directed, and follow up with participants as needed
- Generate and distribute divisional communications relating to the start of the school year, progress reports/report cards, upcoming holidays, weekly bulletins, and other parent emails
- Maintain records and files as they pertain to the Upper School division, in partnership with the Registrar
- Assist with coordinating substitute teachers when needed
- Organize supporting documentation for Upper School credit card
- Organizes Upper School events, including Grade Level Retreats, Parent/Teacher/Advisor conferences, and Upper School End of Year Awards.
- Collaborates with the Dean of the Upper School and the Dean of Academics to plan Commencement
- Coordinates location and logistics for meetings. Take notes at such meetings as needed
- Schedule Upper School faculty duties annually and add them to Google Calendar, prioritizing equity
- Draft/edit correspondence and perform other general clerical duties
- Work with student government, various student organizations, and community service groups to support student programs
- Attend faculty meetings and professional development opportunities
- Manage and maintain teaching/administrative supplies and materials
- Other duties as assigned by the Upper School Division Head
QUALIFICATIONS AND EDUCATION REQUIREMENTS
- High School Diploma required. Bachelor’s degree preferred.
- Excellent organizational skills while still exhibiting a high degree of flexibility
- Skilled in or able to quickly learn Google Workspace tools (Gmail, Calendar, Forms, Sheets, Drive, etc)
- Skilled in Microsoft Word and Excel
- Knowledge of student information systems (FACTS, Blackbaud, PowerSchool) is preferred but not required
- Able to make quick decisions, take the initiative, and prioritize tasks
- Warm and personable with a good sense of humor and considerable patience
- High-energy and enthusiastic about working in an academic atmosphere
- Discretion and respect for confidentiality
- Well-organized and excellent communication and interpersonal skills
