Reporting to the Director of the Head of School’s Office the Special Assistant to the Head of School offers direct support to the Head and their spouse, and is responsible for ensuring the smooth and efficient operation of the Office serving as primary contact for internal and external matters pertaining to the Office of the Head of School.
Primary Duties and Responsibilities
Management of the Head of School’s Office:
- Manage and coordinate the Head of School’s correspondence, reports, calendars, files, and archives; and serve as gatekeeper by screening meeting and call requests;
- Prepare thorough daily meeting materials and briefs for the Head of School
- Monitor and organize the Head of School’s email inboxes to identify urgent priorities for the Head’s attention, respond independently when possible, and forward to others when appropriate;
- Create, organize and prioritize agendas and background materials for Leadership Team meetings and retreats that are focused on policy and school-wide initiatives, in consultation with the Head of School;
- In collaboration with the Head of School, coordinate Professional Development Assessments, both annually and 360? for the Head of School’s direct reports
- Coordinate recruitment efforts for Head of School direct reports with search firms, internal search committees and groups, when involved, in collaboration with Human Resources.
Collaboration & Networking Responsibilities:
- Research and arrange the Head of School’s travel, itineraries, and visas, in collaboration with the Advancement Office to ensure smooth itineraries;
- Partner with the Director of Communications and Communications Office to ensure the timely creation of and dissemination of both internal and external communications from the Head of School’s Office.
- Collaborate with the Finance and Communications offices to prepare figures and text for tuition notifications
- Collaborate with the Events Manager to identify, plan, and schedule meetings with student, faculty, and parent groups; arrange visits to dorms, classes, meals, games, and special events in student life;
- In collaboration with the Events Manager, schedule and plan professional and social gatherings/meetings with visitors, students, employees, community members; serve as interim host while guests are waiting;
- Serve as liaison and project manager with external educational association representatives, including, ESA, NAIS, GOA, NEASC, TABS, SOLA etc., and oversee responses to their survey requests and inquiries;
- Collaborate with the Human Resources and Dean of Faculty’s Offices to coordinate faculty employment contract distribution and collection.
Administrative Duties:
- Support the Head of School’s teaching responsibilities by assembling course materials, assisting in preparation of comments and syllabi and managing subscriptions;
- Assist with the Head’s written correspondence as requested;
- Reconcile Head of School credit card use, approve invoices, and review budget reports for accuracy;
- Approve Head of School direct reports Leave Reports, after Head of School’s review.
Sign on Bonus – The successful candidate will receive a $1,000 sign-on bonus ($500 paid at the time of hire and $500 at the end of 90 days.)
Qualifications should include a Bachelor’s Degree, 5-7 years’ experience in an executive administrative role, discretion and ability to maintain strict confidentiality, excellent written and oral communication skills, creative problem-solving, critical thinking and strategic planning skills, versatile, dedicated to efficient productivity, ability to multitask effectively and maintain focus in a complex, fluid environment, strong project management as well as time and task leadership skills, excellent facility with technology applications, including MS Office suite, excellent interpersonal skills and a demonstrated commitment to diversity and inclusion and to serving the needs of a diverse community.
