The Paideia School is an independent, progressive, pre-K through 12 college-preparatory school in the Emory University area of Atlanta. Paideia is seeking a new Director of Facilities who will report to the Head of School and is accountable for overall performance of the facilities department in providing a safe, clean, cost-effective, sustainable and instructionally supportive school environment consisting of 15-acre grounds, 200,000 sf of buildings and 9-acre outdoor athletic complex. This position sets all departmental policies and procedures for effective facility operations and maintenance. This position also creates the department budget and is responsible for expense management and adherence to established budgets.
Duties and Responsibilities include but are not limited to the following:
- Develop and oversee departmental procedures and systems.
- Hire and supervise maintenance manager and facilities administrator and assist in the same with maintenance staff.
- Account for overall performance of the facilities department, ensuring good communications and relationships with the school’s administration, faculty, staff, students, parents and visitors.
- Develop and maintain a consistent image of a quality customer service-oriented maintenance department.
- Respond to special requests, questions or concerns from stakeholders.
- Develop and manage the school’s annual operating and long-range capital facilities budgets addressing both the short term and long term needs of the school. Monitor and control facilities expenditures to ensure they are aligned with approved budgets.
- Recognize changing needs of the school’s curricular, extracurricular and summer programs in order to respond in a timely fashion to any necessary changes in facilities services.
- In conjunction with the maintenance manager, inspect facilities and systems to identify maintenance and repair deficiencies, establish facility conditions and schedule critical work items to be corrected at appropriate times.
- Establish and coordinate a maintenance schedule that addresses the routine and preventative maintenance needs of buildings, grounds, furniture, fixtures, equipment, fire safety and school vehicles.
- Participate in space planning and alteration of school facilities.
- Oversee purchases of fixtures, furnishings and equipment.
- Monitor annual contract services for custodial work, landscaping, pest control services, elevator service, trash and recycling service and other vendor services.
- Coordinate compliance with annual inspections of fire systems, sprinkler systems, fire extinguishers, elevators, HVAC, storm water systems, backflow preventers, theater grid, bleachers, fleet vehicles.
- Provide facilities support for campus events.
- Solicit bids and develop the scope of work for all major outside contractual work. Oversee and coordinate the work of all outside vendors and contractors, effectively manage the fulfillment of their contractual obligations, including quality control of their work.
- Understand risk management and identify and mitigate any threats to school.
- Maintain compliance with local and national codes including but not limited to ADA, building, fire, electric, plumbing, air quality, OSHA and EPA programs.
- Evaluate systems and maintenance issues as they arise and take appropriate corrective action for prompt resolution, including communicating timely updates to all impacted stakeholders.
- Implement a computerized maintenance management system to effectively manage work orders.
- Oversee Security Manager, including all matters related to campus security, alarms, access and updating.
- Collaborate with Board of Trustees' Building and Grounds Committee on any facilities policy work and represent school in any neighborhood organizations and community meetings
- Manage off-campus parking facilities’ relationships.
- Act as liaison with security officers, alarm company and camera company on security matters.
- Oversee facilities projects conducted outside regular working hours.
- Serve as the primary point of contact for facility-related emergencies.
- Conduct safety drills.
Because this position is one point of contact for emergency situations, maintenance, and safety on campus, there are issues not listed here that can come up day (or night - as reasonable) in the life of a Director of Facilities.
Required Skills / Abilities:
- Ability to sit for periods of several hours per day at computer
- Ability to walk a 12-acre campus 2-3 times per week, and occasionally in inclement weather
- Ability to read and interpret architectural drawings and manufacturers’ maintenance manuals
- Experience in Microsoft Office and Google Suite
- Knowledge of project management and scheduling and experience in contractor management and the ability to judge quality of performance in major technical trades
Minimum Qualifications:
Minimum requirements for this position are a BA, 5+ years of related work experience, preferably in a school environment. Important personal and professional qualities include: proven personnel management skills, effective oral and written communication skills with confidence and clarity in conveying information to all members of the community. Other personal qualities include: the ability to demonstrate initiative and innovation, meet challenges with resourcefulness and develop alternative solutions and approaches and the ability to respond and follow through on assignments and responsibilities in a timely manner and to work on multiple assignments with varying deadlines. Applicants should be detail oriented, highly organized and have strong problem solving skills, with effective management style and interpersonal skills.
Working Conditions:
- Work is expected to be done indoors and outdoors
- Occasional evening and weekend work required as needed depending on emergency repairs and school events
Physical Requirements:
- Minimal physical effort may be required when performing these duties
Strength:
- Ability to walk 12-acre campus multiple times per week, occasionally in inclement weather
- Ability to work for several hours per day at a desk and at a computer

Paideia is a K-12 college preparatory school of 999 students in the Emory University area of Atlanta; the elementary school enrolls 333 students. The elementary program includes twelve full-day, self-contained classrooms grades K-6. There are two teachers in each class of twenty-six to twenty-eight children.
