Reports to: Director of Development
Status: Regular, full-time, salaried, 12-month employee
Purpose: To provide gift management, database and administrative support to the Development team. This includes maintaining the workflow for gift processing and acknowledgements; the coordination of data for prospecting operations, reporting and data analysis.
Duties and Responsibilities:
Gift Processing and Acknowledgments
- Oversee and maintain gift processing and gift acknowledgement, ensuring all gifts and pledges are entered into the database, stewarded, and acknowledged in a timely fashion.
- Generate pledge reminders and coordinate collection of all pledges and matching gifts.
- Ensure adherence to IRS gift policies, acknowledgment data requirements and reporting standards for gift acceptance and reporting.
- Work closely with the Business Office to ensure gifts are processed correctly and help with their monthly and annual reconciliation of gifts.
Database Management
- Manage the operation, maintenance, data input, data integrity and accuracy of all records for the Veracross donor relations database.
- Oversee and manage the production of all data for annual reporting purposes.
- Develop database reports and provide data analysis on donor prospects for St. Mary’s Fund, campaign, gifts, constituencies, actions, and other purposes as needed on a weekly, bi-weekly and monthly basis.
- Create online donation and event registration forms.
- Generate development-specific mailing lists for direct mail appeals, school publications, event invitations, etc.
- Generate weekly giving reports for the development team and volunteer committee.
- Work closely with the development team to coordinate necessary stewardship and donor relations activities.
- Prioritize and accommodate competing requests for data and reports according to established priorities.
- Perform all functions with a high degree of accuracy and confidentiality.
- Coordinate periodic training of all development staff on current and new applications of Veracross as needed.
Administration
- Maintain guest lists, print name tags, prepare registration materials, check-in and other duties for fundraising and donor stewardship events.
- Handle all administrative details associated with Development Committee meetings (i.e. prepare and distribute notices, agendas, minutes, etc.).
- Special projects as needed. Provide administrative support to the department.
- Other duties as assigned by members of the Development team and the Head of School.
Minimum Requirements:
- Bachelor’s Degree from an accredited college or university or related experience.
- Minimum 2-years’ experience in non-profit fundraising.
- Proficiency in MS Office Suite.
- Database management experience, preferably with Veracross or equivalent
- Outstanding interpersonal skills with a strong customer service focus (internal and external).
- Excellent verbal and written communication skills with an ability to effectively communicate with all stakeholders of the school.
- Ability to organize and successfully prioritize work and multi-task in a fast-paced work environment.
- The ability to work both independently and as part of a team is essential.
- Demonstrated ability to take initiative and work autonomously when needed.
- Highly ethical and confidential team member.
- Able to sit for extended periods of time.
