Position Description: Plymouth Meeting Friends School is seeking an experienced executive assistant with outstanding interpersonal communication skills and exceptional facility with technology. The Assistant to the Head reports directly to the Head of School, supports the Head’s daily and long-term operation of the school, and aides the Head’s work on institutional programs and projects. The Assistant to the Head provides high level administrative support with organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information for the Head of School and supports the school’s senior administration. The Assistant schedules and manages meetings for the Head and helps as needed with the organization of special events.
The Assistant to the Head serves as a source of information for PMFS students, families, faculty, trustees and visitors, and assures the smooth operation of day-to-day activities in the Main Office of the school. The Assistant serves as an official greeter of all visitors to PMFS and maintains positive and supportive connections with faculty, students and families in the school’s intentionally diverse community.
In collaboration with senior administrators, the Assistant to the Head updates personnel, student and family handbooks and directories annually; updates campus health and safety plans; and manages the school’s weekly and annual calendar. They monitor the Head’s calendar and attend to administrative support of the Head’s office, including the dissemination of school-wide documents and notices. The Assistant creates and disseminates the daily “Blue Note” (internal email) tracking attendance, late arrivals, early dismissals, announcements and staffing information. The school’s weekly electronic newsletter (Virtual Red Folder) is created by and distributed to the PMFS community through the office of the Assistant.
The Assistant maintains and distributes all student reports and records, including medical information; monitors daily updates related to transportation, attendance and family contact information. In collaboration with senior administration, trustees and the PMFS Parent Teacher Organization (PTO), the Assistant to the Head of School supports planning, logistics and communication/marketing for annual programs, events and traditions at the school.
The Assistant to the Head organizes, coordinates, and performs administrative duties requiring judgement, discretion and confidentiality. They maintain and protect the confidentiality of the Head of School’s Office and student and employee files; and they maintain professional boundaries and exercise discretion with respect to the handling of sensitive and privileged information. This position requires an individual who can assess, prioritize and synthesize varied requests, demonstrating exceptional planning and time-management. Strong organizational and communication skills, flexibility, a professional demeanor and sense of humor are essential. High attention to detail and the ability to produce high quality, accurate work in a timely manner are core competencies for this position.
The ideal candidate enjoys working in an elementary school environment and embraces the challenges and joys of working in an independent school office. Essential competencies include excellent written and verbal communication skills; competency with word processing, spreadsheets and internet applications; facility with Google Suite is required. Experience with systems management through Blackbaud is a plus. Utilizing and maintaining databases to manage information related to students, families and personnel is critical and integral to the position.
Qualifications: A minimum of a bachelor’s degree is required. Applicants are expected to have at least 2 to 4 years of prior experience as an administrative assistant or similar position.
