Job Summary: The Manager of Data Services is responsible for managing and integrating the school's core databases, including Veracross, Google Enterprise, and various other databases and systems. This position is responsible for oversight and maintenance of student and school academic records across multiple databases; administration of the course scheduling, grading, reporting, and conference processes.
This is a full-time, 12-month position, with vacations at the supervisor's discretion based on school needs.
Duties/Responsibilities:
- Responsible for implementing processes for the secure maintenance of all academic records in accordance with applicable privacy and data security requirements.
- Work with the Director of Technology to coordinate the evaluation, purchase, and
implementation of database software across departments and divisions.
- Work with the Assistant Head of School, Director of Institutional Advancement, Director of Finance, Admission Director, and Communications Director to coordinate the flow of information between department data systems and establish database management standards and protocols.
- Primary responsibility for building K-12 schedules, producing grade reports, and other functions of academic data.
? Build and maintain all divisional academic schedules (teachers, rooms, students). Implement processes for scheduling, recording, and tracking students' course enrollment, completion, and final grade according to academic policies.
- Implement course changes, add-drop process, course placement, sectioning, and related tasks.
- Work with the Assistant Head of School for Academic Programs and Principals to document and track K-12 student academic progress, behavior, and discipline.
- Conduct End-of-Term and Close-School-Year processes in Veracross. Initiate the new school year.
- Coordinate all aspects of the student information system's ongoing use and maintenance. Coordinate and provide data-related training needs and support needs across departments and divisions.
- Work with the division technology coordinators, who will provide second-level support for teachers using the student information system.
- Maintains current knowledge of applicable data security and privacy laws and emerging technology; recommends system improvements and policy changes as necessary to ensure continued compliance with legal standards and best practices.
- Analyze and derive meaning from data relevant to admissions, marketing, advancement, and the academic program.
- Lead special projects as assigned by the Head of School and Director of Technology.
- Provide technical support as needed.
Required Skills/Abilities:
- Advanced knowledge of Data Management tools, techniques, and standards including working with API's.
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Good interpersonal skills with the ability to fairly resolve disputes and complaints.
- Thorough understanding of or ability to quickly learn the database and administrative software programs in use at the school.
- Ability to keep confidential information secure and private.
- A collaborative style and approachable demeanor, and demonstrated ability to establish rapport and trusting relationships with people from diverse identities and cultural backgrounds.
- Effective cross-cultural communication skills. Able to operate effectively in diverse environments and interact successfully with people from widely varying backgrounds. Ability to work in a fast-paced environment, both independently and in collaboration with individuals and teams. Ability to exercise good judgment in decision-making and develop and implement plans in an organized and timely manner.
Preferred
- A former database administrator or school registrar.
Education and Experience:
- Degree in Business Administration, Data Management, Computer Science, or a related field required.
- At least five years of experience in data management administration.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
