Position SummaryThe Coordinator of Auxiliary Programs is a full-time position that reports to the Director of Auxiliary Programs. The position works collaboratively with the Director and Assistant Director of Auxiliary Programs in supporting all camp programs, employee childcare, enrichment, aftercare, rental programs and with implementing policies and procedures, identifying areas of concern, and collectively working as a team to identify solutions using professionalism and good judgment. This position will assist with day-to-day operations of the department to cover late afternoons, evenings, and occasional weekends. The standard schedule during the school year is Monday to Friday from 10:30am to 6pm. During summer months the schedule is Monday to Friday from 8am to 4pm. An occasional weekend may be required for providing oversight of rental facilities. Duties and Responsibilities Provides administrative support for the Department of Auxiliary Programs including answering incoming telephone calls from parents and prospective camp families; address and respond to inquiries and concerns by returning telephone calls and email. Aids in maintaining and updating master student records for the Beyond the Bell Aftercare Program as well as the Lower School Authorized Pick Up list. Creates student and teacher rosters for Lower School Enrichment classes and Faculty Childcare days. Creates Authorized Pick Up List rosters for enrichment instructors. Accurately tracks student attendance and absences in enrichment programs. Maintains accurate camper file management including but not limited to distributing, collecting, and approving documents. Works closely with the Infirmary to obtain approvals on medical waivers. Assists with pre-program planning, camp staff training and orientation. Creates, updates and maintains camp social media. Serves as a member of the Beyond the Bell Aftercare staff on Monday to Friday from 3pm to 5:30pm. Responsible for managing the aftercare phone and addressing incoming calls and inquiries from parents/caregivers. Assures the safety, care, and well-being of students enrolled in the Beyond the Bell Aftercare Program. Responsible for communicating discipline and behavioral concerns with parents, faculty and staff for students while in Employee Childcare and/or the Beyond the Bell Aftercare Program. Plans activities for the Beyond the Bell Aftercare Program and Employee Childcare. Ability to connect and engage with children in the Beyond the Bell Aftercare Program and summer camp programs; ability to handle conflict between campers/students in a fair and consistent manner. Supports the Department of Auxiliary Programs as a Rental Monitor on evenings and weekends as needed. Performs other duties as assigned by the Director of Auxiliary Programs and Assistant Director of Auxiliary Programs.
