Receptionist/Administrative Assistant
Position Summary – The primary function of the Receptionist is to greet visitors and serve as an information and help desk for a variety of school administrative needs. This position is classified as an Essential Personnel position; therefore, reception hours may be needed during inclement weather so that appropriate messaging may be given as needed to the Prep community. There may be some flexibility of hours needed due to school events. There may also be certain “blackout” periods where the receptionist may not be able to schedule vacation days due to school needs. This position reports to the Director of Campus Management and Operations. This is a non-exempt status position. Job hours: 7:30am – 4pm, Monday – Friday.
Receptionist Job Responsibilities:
- Serves visitors by greeting, welcoming and directing them appropriately;
- Assist visitors with any information needs, and/or parents with boarding student needs/packages, etc.;
- Maintain security and telecommunication system (i.e., manage voice recording for main number, remotely if needed and as directed);
- Maintain phone list and add new employee extensions, delete exiting employees, and distribute phone list as needed;
- Liaison with Security for visitors, and communications with employees expecting visitors;
- Occasional, back-up support for substitute teacher list;
- Keep a safe, clean and professional reception area, according to the standards set for Georgetown Prep;
- Support school administrators as needed with administrative project needs;
- Daily, distribute incoming mail and packages to the mailroom assigned boxes;
- UPS/FEDEX/USPS liaison – sign for packages. Notify employees of incoming packages;
- Office supply inventory and recordkeeping. Order supplies as needed for Headmaster office supply area, and employee assistance with office supplies as needed. Keep office supplies and area for supplies organized and efficient;
- Set-up for outgoing deliveries (UPS, Fedex, other carriers);
- Maintain organizational chart upkeep with incoming and exiting employees (working with HR);
- Various Veracross database upkeep;
- Filing of transcripts and other filing needs; and,
- Other reception/administrative duties as needed.
Receptionist Qualifications / Skills:
- Self-starter; proactive and high initiative where reception area needs are concerned
- Professional voice – telephone communication skills
- Ability to sit, stand, walk, and bend during the day
- Ability to lift up to 25 pounds with regards to incoming packages
- Reliable and prompt with attendance and arrival and departure time
- Experience with using phone/switchboard equipment
- Proficient with Microsoft office – Microsoft Word, and Excel
- Excellent communication skills – verbal and written
- Professional dress/business attire
- Excellent can-do attitude; pleasant and cheery disposition
- Team work attitude, and pride of representing Georgetown Preparatory School
- Ability to handle pressure professionally, as needed
- Resourceful, and excellent attention to detail with regards to reception duties
- Flexibility with hours based upon school needs
Education and Experience Requirements:
