Job Summary:
Under the direction of and in cooperation with the Head of School, the Executive Administrator will be responsible for the day-to-day administrative and management duties of the Office of the Head of School to support the school and its leadership. This individual will also work closely with the Chairman and other members of the Board of Trustees to assist with board governance and leadership to help advance the school, while also fostering effective relationships with faculty, staff, students, parents, donors and other members of the NSA community. This individual will exhibit a strong work ethic, exceptional organizational, communication, project management and coordination skills and have the ability to exercise independent judgment, with respect to matters of significance, with professionalism and discretion, while also promoting excellence in a student-centered environment necessary to accomplish the school’s mission.
Essential Functions:
- Manage the Office of the Head of School in coordination with the Head of School (HOS) and serve as a conduit to the board, senior administrators, faculty, staff, students and parents to ensure school related matters are addressed in a timely, professional and courteous manner.
- Assist the HOS with all Board of Trustee related matters, as well as standing and ad hoc committees matters, to include scheduling of meetings, preparation of board packets, assistance with board presentations and research, correspondence, agenda and meeting minutes.
- Collaborate regularly with the senior administrative team regarding school-related initiatives and projects.
- Collaborate with the HOS and Director of Communication and Public Relations to ensure effective and timely communications pertaining to all school wide related matters.
- Support the HOS with the many details of school life to ensure operational effectiveness in terms of administrative and academic policy development and leadership, board and committee management, personnel management, project management support and coordination, facility operations and maintenance and other school related functions.
- Lead, organize, research and participate in various special projects and serve on committees, as directed by the HOS.
- Assist with constituent surveys or perform other project management duties, as requested by the HOS.
- Review HOS budget reports regularly and track all HOS Office budget expenditures.
- Manage the HOS’s calendar and appointments, school-related travel, professional development and other activities requiring the HOS’s commitment and time.
- Assist the senior administrative team with the planning and development of the annual school calendar of events and activities.
- Coordinate and assist with scheduling of personnel interviews for the HOS during recruitment season.
- Participate in professional development opportunities offered through the NBOA, VAIS, SAIS, ISM and other professional associations to stay abreast of best practices and trends for independent schools.
- Assist HOS with the planning and scheduling of the annual Board of Trustees retreat as well as the All School closing and opening events for faculty and staff.
- Manage, update and maintain all board-related information, records and approved documentation on the secure Trustee Resource Board on SaintsNet.
- Prepare and submit all required payroll reports, expense reports and purchase requisitions related to the Office of the Head of School.
- Handle all HOS office telephone communications and assist visitors in a professional and courteous manner.
- Attend required evening and weekend events pertaining to various school-related events, which may be required or requested by the HOS.
- Perform other duties, as assigned by the HOS.
Required Education/Background:
- A bachelor’s degree in business administration or related field from an accredited college or university.
- 5-10 years of proven executive administrative experience, preferably in an independent school setting.
- Prior experience supporting senior leadership and working with boards and/or committees, preferred
- CPR/First Aid and MAT training, preferred.

- Ability to excel in a high-volume, fast-paced workplace with minimal supervision and high degree of confidentiality, discretion, diplomacy and professionalism.
- Excellent oral and written communication skills and attention to details.
- Exceptional organizational skills and strong work ethic.
- Self-directed with the ability to work independently or as a team, assume responsibility for projects, and meet deadlines under limited supervision.
- Ability to embrace the challenges inherent in a high profile role to manage the Office of the Head of School.
- Professional appearance and demeanor.
- Advanced technology proficiency using Excel, Word, PowerPoint and Google G Suite in an Apple platform. Blackbaud experience preferred.
