Hillel Day School’s Advancement Office seeks a motivated, detail-oriented, collaborative professional to join our team as the Annual Giving Coordinator.
As a member of the Advancement Team and a key custodian of data, this person will provide data and gift processing in support of, and in conjunction with, fundraising, stewardship, outreach, event invitations, and donor relations. Qualified applicants will be experienced in fundraising and database management, preferably Raiser’s Edge, committed to data hygiene, and possess a high emotional intelligence, and have an investigative and analytical mindset to fully understand the school’s needs and utilize the data to meet those needs. The position requires excellent interpersonal skills and a growth mindset to learn new technologies to improve data processes and self-enforced attention to detail. This position also serves as the lead staff member responsible for processing gifts, donor acknowledgments, and varied financial reports, and enhancing donor stewardship. The position has significant responsibilities in the areas of data and gift entry to ensure that all cash gifts, stock donations, and pledges are accurately recorded in the Raiser's Edge database and reconciled with the Business Office. This person will also work collaboratively within the Advancement Team to increase donor engagement and outreach.
- Support and enhance the efforts of the Advancement team to achieve fundraising and donor relations goals
- Work with the Director of Advancement to develop and implement stewardship strategies that strengthen long-term relationships with donors at various recognition levels
- Manage the Raiser’s Edge database, actively updating, monitoring and maintaining the school’s records to maintain data integrity and performing routine data maintenance tasks (including processing returned mail and bounced emails) to ensure data integrity
- Process, record and document all gifts and pledges generated through annual and major giving programs, special events, and other appeals
- Coordinate and prioritize day-to-day gift processing activities and ensure accurate processing of checks, credit cards, and electronic funds transfers for unrestricted and restricted gifts and stewardship of gifts
- Reconcile batches with Raiser's Edge and prepare batches for daily deposit
- Record donor pledges in Raiser's Edge, maintain all pledge files, track outstanding pledges, and produce pledge reminder letters to donors and reports as appropriate
- Communicate with the Business Office to process payments and resolve technical problems or adjustments that must be made to ensure accurate processing of gifts
- Prepare acknowledgement letters to be signed by Head of School and Director of Advancement
- Drive the Advancement team’s administrative operations, including regular receipting and donor acknowledgment letters, end of year tax letters, financial reporting, running queries, and donor mailings
- Facilitate efficient, accurate, and customer-friendly communications/interactions with internal and external customers (faculty, staff, alumni, parents) in all areas related to both the Advancement Office as well as the school
- Manage the Memorial/Tribute Gift program, including notifying the donors and family members
- Produce daily, weekly, and monthly reports for gifts and campaigns, which includes queries to meet the specialized reporting needs of the Advancement Office
- Work with the Director of Advancement on regular portfolio review meetings and prospect strategy sessions
- Develop and maintain stewardship efforts in Raiser's Edge; track information, monitor activity, and produce reports.
- Directly support the fundraising efforts of the Advancement Committee
- Help implement and support donor events
- Collaborate in the coordination and logistics of Advancement-related events and projects
- Coordinate stewardship information listed in school publications, on the website, and in the Annual Report
- Assist in the planning and executing donor recognition signage, activities and events as needed
- Provide administrative support when needed for departmental operations, including but not limited to answering phone calls and providing information of the programs within the department
- Additional duties and responsibilities as needed and assigned
Required Qualifications
Education, Training and/or Experience
- B.S. degree or the equivalent is desired.
- Must have three (3) to five (5) years of experience in gift processing and strong Raiser's Edge usage including queries, exports and reporting skills.
- Customer service-oriented experience working well under pressure with a wide variety of people (staff, community leaders, donors, volunteers).
- Demonstrated ability to work in a dynamic and flexible environment managing multiple tasks and prioritizing.
- Strong organizational, analytical, and problem-solving skills, with ability to think creatively and strategically.
- Experience working with exported data in Microsoft Excel, to sharpen and enhance data reporting and analysis.
- A problem-solving mindset. The willingness to try new solutions, fail, and try again.
- High level of professionalism, and excellent interpersonal relations and ability to maintain high level of confidentiality
