Job Summary
The primary responsibility of the Events Coordinator is to advance the mission of The King’s Academy by showcasing the school and developing positive relationships through the planning and execution of public school events. Events include (but are not limited to): Welcome & Picture Day, New Parent & Student Orientations, Parent Coffee Socials, Back-to-School Night, Open House Events, New Family Welcome, All-School Awards, 8th Grade Promotion, 12th Grade Graduation, and Parent Seminars. The Event Coordinator will assist with fundraising and alumni events as time permits.
Essential Job Functions
Regular Activities
- Plan and coordinate events, event program, facility/AV/IT support requests, set-up and decor, clean-up, and signage.
- Be present to assist before, during, and after each event. Ensure all facilities are left as needed and all equipment and supplies are cleaned and stored.
- Ensure adequate staffing at events and direct all personnel involved with events. Plan for potential scenarios that could impact the integrity of the event and troubleshoot emerging problems on the day of the event
- Plan events with attention to financial and time constraints and ensure compliance with insurance, legal, health and safety obligations, and school policies and procedures.
- Work closely with hospitality staff when food is served at events.
- Work closely with the Director of Marketing & Communications to ensure the event details are communicated with staff, volunteers, and TKA’s community and all printed materials are prepared and reviewed by Director before the event.
- Evaluate events and keep thorough records of the event planning process, budget, and feedback from stakeholders for the following year.
Qualifications
Education and Experience
- Bachelor’s degree in Marketing, Public Relations or Event Planning preferred
- Minimum of 2 years in event planning

- Outstanding organizational abilities and attention to detail
- Excellent skills in communicating both orally and in written form
- An enthusiastic and professional demeanor
- Able to multitask and work both independently and in a team setting
- Demonstrated ability to lead by example
- Proficient with Microsoft Office, Google Suite

Working Conditions & Physical Requirements
- Required to use the computer throughout the day
- Work will be performed from the campus
- Will move throughout the campus during the day
- This job entails a lot of lifting and carrying to set up and tear down events. Carts can be employed to assist, but events require a lot of physical exertion, stamina, and being on one’s feet, both indoors and outdoors, for extended periods.
- Work is generally performed, Early August-Early June, hours vary
- This position will require you to work night and weekends per the events calendar
- The months listed are approximate, and the annual start and end date will be dictated by the school calendar and the department’s needs.

- Pay Grid Range: $26.17 - $40.47
- This position is paid based on a preset salary grid, and the actual salary will be determined by applicable education and experience as determined by the Human Resources department. The starting pay listed reflects this position's minimum experience and education requirements. The top pay range represents the top of the pay grid for this position. It is rare for a candidate to enter this position at the top of the pay grid. Most candidates can expect to enter in the lower to middle section of the pay grid, depending on experience and education.
