Position Summary:
The Gladwyne Montessori School seeks a full-time Auxiliary Program Manager. This person is the leader of after care, before care, extracurricular, and summer programing. This role includes hiring and training team members, marketing auxiliary programs, navigating communication and collaboration with colleagues and parents, creating and maintaining policies, scheduling programs, and assisting with budget preparation and tracking.
The Auxiliary Program Manager will design the program, staff the program appropriately, and gather materials for the program. They will maintain positive relationships with parents and community members and proactively communicate about the program.
Primary Responsibilities:
- Hiring and supervising Auxiliary Staff
- Hiring and coordinating vendors
- Staffing activities and classrooms appropriately
- Overseeing the budget for Auxiliary Programs seeing that the results are a net positive for revenue and achieving budget goals
- Overseeing the enrollment of all Auxiliary Programs which includes registration, customer service, reconciliation of billing and enrollment
- Creating and implementing programming for all Auxiliary Programs. This includes designing schedules, hiring outside providers, staffing appropriately, and other such duties
- Ensuring all Auxiliary Programs are safe, secure, and that all staff are communicating regularly and accurately to guarantee student and staff safety
- Being dependable, timely, and reliable when interacting with all families that utilize Auxiliary Programs
- Prepares for and presents at school events, such as open houses and other school events
- Participates in professional activities designated by the Chief Financial Officer, which may include workshops, curriculum retreats, meetings, planning, and other professional pursuits
- Attends all pre-announced staff meetings and professional sessions, including staff, level, committee, and evening parent meetings
- Follows the school’s policies and procedures for student evaluation and record keeping, meeting all due dates as required
- Assesses the needs of the program and prepares requests for materials, furnishings, and budget; updates inventory list and submits to the Chief Financial Officer
- Other job duties as assigned

- Minimum of two years of teaching rooted in progressive education

- Understanding of independent schools
- Strong organizational skills, attention to detail, creative thinking
- An eagerness and ability to interact with parents, students, faculty and staff, administrators, trustees, alumni and other friends of the school
- Ability to work both independently and as a team member, prioritize work and meet deadlines while managing multiple tasks and maintaining a positive attitude
- Excellent written and oral communication skills
- Demonstrated cultural competency and desire to continually learn and grow in the area of Diversity, Equity, Inclusion and Belonging
- Demonstrated record of accurately completing assignments
- A willingness to work outside of “normal” business hours is essential as peak periods and special events necessitate some evening and weekend hours
- Proficient in Excel, Word, and other Microsoft applications
