Reporting directly to the Controller, the Accounts Payable Coordinator performs accounting and administrative tasks related to the efficient maintenance and processing of accounts payable transactions for The Kinkaid School.

The Kinkaid School is a co-educational, nonsectarian day school enrolling over 1,400 students in pre-kindergarten through twelfth grade. The student body is divided into the Lower School (PreK - 4th Grade), the Middle School (5th grade - 8th grade) and the Upper School (9th grade - 12th grade). Located on a sixty-five-acre campus in the heart of Houston, Texas, the Kinkaid offers a thriving intellectual community in the midst of a vibrant, urban, and diverse culture.

ESSENTIAL DUTIES AND RESPONSIBILITIES 

• Review, verify,  input and process vendor invoices

• Prepare and run payable reports and maintain accounts payable files

• Process weekly reimbursements to faculty, staff, students, and parents

• Initiate positive pay bank file after checks are issued

• Post disbursements to General Ledger

• Answer vendor inquiries and resolve vendor issues

• Maintain business office cash funds and perform cash reconciliations

• Maintain W-9 forms and 1099 vendor files

• Act as a Business Office liaison to parent groups, faculty and staff.

• Track restricted expenses in Excel

• Prepare accounts payable schedules and reconciliations

• Provide switchboard and mailroom support when necessary

QUALIFICATIONS 

• High School diploma or GED, some college preferred 

• Minimum of 3 years of accounts payable experience (Blackbaud or Blackbaud NXT a plus)

• Experience with accounts payable account programs

• Experience with Microsoft Office products

• Basic general account knowledge

• Proficient in data entry

• Knowledge on online credit reconciliation systems preferred

• Strong interpersonal, communication, and relationship skills
