Annunciation Orthodox School seeks an experienced, highly motivated, strategic and detail-oriented Alumni and Special Projects Coordinator to join the Advancement Department and support the fundraising and engagement goals of the School. This position’s primary responsibilities include helping to lead the AOS alumni program and supporting all of the school’s campaign cultivation and fundraising activities. Strong candidates will be self-motivated, responsive, organized, energetic, and collaborative.

Reports to: Director of Advancement
Status: Salaried/Exempt
Start Date: Immediately
Work Schedule: Monday-Friday, 40 hours per week, in addition to evenings and weekends as required for meetings or events.
Responsibilities:
Alumni Engagement
- Assist the Alumni Manager with the design and implementation of all alumni engagement events and programs focused on developing and strengthening the AOS alumni network.
- Assist with identification and recruitment of alumni to plan and coordinate alumni reunions.
- Assist the Communications Department with alumni-related communications including class notes, alumni features in the Delphian magazine, and alumni outreach via social media.
- Strategically create new and innovative ways to connect with alumni.
- Work with the Alumni Manager and Annual Fund Committee to solicit and engage alumni and former parents for maximum participation in the Annual Fund.
- Evaluate results, refine plans, and implement new strategies based on ongoing analysis.
Grandparent Engagement
- Assist with the design and implementation of grandparent engagement events and programs focused on developing and strengthening the AOS grandparent community.
- Plan and coordinate the annual Grandparents and Special Friends Club Garden Party.
- Help plan and coordinate the annual school-wide Grandparents and Special Friends Day.
- Build and cultivate meaningful relationships with AOS grandparents and special friends.
Capital Campaign
- Assist the Director of Advancement with prospect identification and research for major gifts.
- Collaborate with the Director of Advancement and Database Manager to produce campaign reports and statistics. Produce campaign metrics for reports required in board meetings and relevant committee meetings.
- Coordinate timely and accurate gift processing and acknowledgements with the Database Manager.
Planned Giving
- Help build an effective planned giving program by identifying prospects, and creating goals, timelines, and metrics to measure growth.
- Assist in the planning of special events with the goal of cultivating planned giving prospects and donors.
- Expand the Lithos Society planned giving program and celebrate these donors in school communications and through special events.
Gala
- Assist with all Gala-related events.
- Help coordinate all tracking and acknowledgement of donations and prepare reports related to the Gala.
- Assist with post-sales for Gala events (sign-ups, faculty offerings) and collections of outstanding gala accounts.
General
- Attend school events to build and deepen relationships with prospective and current donors.
- Support all other Advancement-related functions and events, including all Parent Teacher Club (PTC) and Dads Club activities.
- Work with the Database Manager to ensure all gifts are promptly acknowledged and departmental goals for stewardship are met.
- Contribute content to school publications and social media as appropriate.
Requirements:
- Bachelor’s Degree from a four-year college or university
- Two to five years of experience in fundraising, alumni relations or a related field
- Ability to independently prioritize multiple projects and tasks
- Strong project management skills and ability to execute independently
- Interest in building relationships with alumni, grandparents, and volunteers and a willingness to engage them in meaningful ways
- Ability to work in a busy, fast-paced environment
- Willingness to work collaboratively with multiple departments
- Excellent communication skills, including writing, proofreading, and speaking
- Experience in education, non-profit, or similar environments
- Respect for the confidential nature of an individual’s financial resources and giving aspirations
- Proficient with MS Office, mail merges, Google products, Raiser’s Edge
- Must be able to multitask, prioritize, and maintain a positive attitude during times of stress
