Job Title: Executive Assistant to the Head of School and Board Liaison
Division: Head of School’s Office
Reports to: Head of School
Summary: King School is looking for an Executive Assistant to the Head of School and Board Liaison to start in mid-June to early July 2023. The Executive Assistant provides senior-level administrative support to the Head of School and works closely with the school’s leadership team and Board of Trustees. The Executive Assistant provides high level administrative support with organizing, scheduling, coordinating, researching, compiling, exchanging and analyzing information for the Head of School. This person is responsible for ensuring the smooth and efficient operation of the Head of School’s office serving as the primary contact for internal and external matters pertaining to the office of the Head of School. The Executive Assistant supports the Head of School’s daily and long-term operation of the school and aids the Head’s work on institutional programs and projects. The Executive Assistant is a valuable member of the leadership team.
Primary responsibilities include, but are not limited to:
- Provide administrative support to the Head of School, including but not limited to calendar management, event planning and coordination, record keeping, and project management.
- Maintain Head of School files, correspondence, and various other records and documents with confidentiality.
- Answer and appropriately respond to emails, phone calls, or visitors and prioritize response when necessary.
- Reconcile Head of School credit card use and approve invoices.
- Oversee and manage annual reporting and professional memberships for the school.
- Manage various projects and liaise with other departments in execution of recurring projects and/or complex tasks.
- Coordination of strategic initiatives and institutional projects and programs.
- Work closely with the Director of Dining Services and Director of Campus Operations to plan and coordinate special events including catering orders and work orders.
- Manage all administrative activities in support of the Board of Trustees, including but not limited to: managing the online board platform, preparing meeting schedules, organizing and coordinating meeting logistics such as facilities and catering, document and presentation preparation, attending meetings and taking minutes, providing appropriate follow up after meetings, and scheduling other committee meetings as needed.
- In collaboration with the Human Resources Manager, coordinate all on-campus interviews for staff positions.
- Attends, participates, takes minutes and provides follow up at Leadership Team meetings.
- Manage and maintain the master calendar for the school.
- Manage all gifts from the school for employee illnesses, marriages, births, deaths, etc.
- Coordinate and oversee the planning and execution of Commencement including meetings, programs, diplomas, student gowns/caps, faculty and staff gowns/hoods, flowers, bells, etc.
- Coordinate and plan all school faculty/staff meetings, end-of-year celebrations, and milestone events.
- Coordinate and plan the annual leadership team retreat.
- Coordinate logistics and travel arrangements for Head of School and other conference needs as they arise.
- Perform other duties as assigned by the Head of School.
Requirements:
- Bachelor’s degree required.
- Minimum of five years experience supporting a senior executive.
- Strong interpersonal, communication, and relationship skills.
- Strong writing, speaking, and organizational skills.
- Ability to remain calm and professional when unexpected situations occur.
- Ability to maintain strict confidentiality with discretion, respect, and sensitivity.
- Ability to handle multiple projects simultaneously with high attention to detail in a timely manner.
- Ability to prioritize and synthesize varied requests, demonstrating exceptional planning and time-management skills.
- Ability to work collaboratively with administrators, faculty, staff, and parents.
- Strong competency in word processing, spreadsheets, and internet applications, and fluent with Google Suite.
- Technologically adept and have the ability to embrace the various systems utilized at King.
- An interest in and commitment to fully engaging in the King community.
