The Registrar is a full-time position held by an individual with a minimum of a bachelor’s degree or five years or more of related experience. As a registrar, this person is the first contact and ambassador in the Academic Office and works in conjunction with the Academic Dean and other administrators to manage student academic systems while supporting faculty. Successful applicants will be:

Administrative Responsibilities:
* Maintains student cumulative records and transcripts; visits storage as needed
* Manages, creates, and revises all academic forms and calendars
* Maintains all academic and advisory, grading, online course sign-up roles through MA online student information system (SIS) and online learning management system (LMS)
* Communicates with SIS and LMS Support on an as-needed basis
* Coordinates with Dean of Students, Dean of Academics, grade-level deans, and student support staff to create advisory groups, build academic schedules, and maintain grades and reports for students
* Assists in the maintenance of PE credit letters (distributes letters through advisors)
* Communicates regularly with Outings Director and Athletic office for accuracy of student physical education records
* Oversees culminating academic project logistics (i.e. facility needs) if needed
* Coordinates and manages (including proctoring) students taking make-up tests, quizzes, and exams as needed
* Manages sub coordination for faculty including but not limited to management of sub needs, letting subs into classrooms, providing loaner computers (and helping subs with technology), assisting with classroom coverage for last-minute requests (due to travel difficulties, emergencies, etc.), and partnering with the Dean of Faculty around outside sub hiring (Note: this aspect of the job includes potential communication during evenings, weekends, and early mornings)
Leadership Responsibilities
* Co-leads, with the Dean of Academics, the preparation of the course catalog
* Oversees the student online course registration process, including annual training of advisors
* Co-leads student and faculty scheduling process with the Dean of Academics, taking a leadership role in the creation of the main schedule
* Acts as first consult for students seeking schedule changes through the add/drop period, and oversees the add/drop process in general
* Manages and maintains online SIS database to accurately reflect the following: teaching schedules, course offerings, overall/main schedule, student schedules, grade reports, class lists, classroom assignments, advisor lists, mid-quarter reports, quarter comment reports.
* Oversees mid-quarter comments, quarter comments, and report cards. Helps to proofread comments and flags some for follow-up. Follows through with teachers to record changes of INC grades to letter marks. Prepares GPA reports and compiles Low-Grade reports and sends them to the Dean of Academics, class deans, and student support staff
Coordinates and manages Back to School Night including internal and external communication and creating individual student schedules for parents to navigate the evening smoothly
* Co-leads external communication related to grades and comments with the Dean of Academics and the Communications Office
* Manages and leads internal communication related to grades and comments, alerting teachers to key deadlines and processes and setting
* Coordinates and manages Student Placement Day and assessments for incoming students
* Works with the Dean of Academics to compile and analyze academic office data including information about student grades, course enrollment patterns, grades by faculty member or department, etc.
* Maintains the calendar in the online SIS & LMS (making sure all dates are accurate and comply with the Daily Planner, ensuring the holidays are correct, alternate or “odd” schedule days are displayed correctly, etc)
* Manages and is present for Placement Day, Back to School Night, and other academic functions as requested
