The Admission & Enrollment Office at Episcopal School of Jacksonville (ESJ) seeks to serve families exploring an Episcopal education with care, kindness, and respect. The Admission & Enrollment Data & Office Manager is responsible for maintaining and reporting accurate data and records for admission and enrollment across all three ESJ campuses, as well as managing office needs including ordering supplies and managing maintenance requests.  This role reports to the Director of Admission & Enrollment (based on the Munnerlyn Campus).

RESPONSIBILITIES

• Manage annual back-end set up of online Admission Application in Veracross (VC) - gather updates from Admission team, work with ESJ Tech Office and VC to implement the new application by September 1 each year
  
• Coordinate with partner schools to receive annual contact lists, edit/correct data upon receipt and upload to database
• Manage application submission and prep for review - upon receiving documents (teacher observations, transcripts, etc.) confirm requested items are included and add to digital files (update school information in database as needed), follow up with current schools/parents as needed, upload assessments and standardized testing to digital files, manage YouCanBookMe account for online scheduling of applicant interviews 
• Manage enrollment logistics - publish enrollment contacts, generate admissions decision letters, update internal document and notify team when students enroll
  
• Manage enrollment details and documentation for Separate Households - follow up for required documentation as needed and manage storage of documents
  
• Create and manage queries from the database and export to spreadsheets as needed - email lists, mail merge letters/emails, nametags, data for Board reports, etc.
  
• Ensure data integrity aligned with school data protocols - work closely with cross-department data team
  
• Support Executive Director in reporting to the Board of Trustees and submitting data for NAIS DASL admission and enrollment 
  
• Manage orders for magnetic parent nametags for all three campuses four times/year - generate list of newly enrolled families and/or replacements requested, coordinate order with vendor, coordinate delivery of new nametags to families
• Support Munnerlyn Campus Associate Director in fielding inquiries (phone, in person, email, and online) as needed
  
• Serve as Independent School Entrance Exam (ISEE) Supervisor - point of contact for ISEE; set up tests with ISEE; coordinate school calendar and set up requests; coordinate test administrators; organize test materials; communicate with parents of testing students; manage day-of test experience for all; upload ISEE test results
  
• Manage Munnerlyn Campus Office (and support Lower School Offices as needed) to create a welcoming environment for both guests and colleagues to include inventory and ordering of office supplies, guest refreshments, plant maintenance, cleanliness, and ongoing maintenance/upkeep of office and Admission & Enrollment golf cart. 
• Help with Admission events throughout the year as needed, including some evenings and weekends

SKILLS AND EXPECTATIONS

• Bachelor’s Degree and 5+ years of relevant experience (preferred but not required)
• Passion for education,  with a focus on information technology
• Excellent communication skills, both verbal and written
• Highly proficient in database and computer operations, Google Drive (Docs, Sheets, Forms, etc.), Microsoft Office (Word, Excel)
• Ability to quickly learn and gain proficiency with the admission process, school database, and school knowledge
  Professional and polished with a focus on hospitality and helping people feel immediately welcome
• Desire to build trust and strong relationships with the internal ESJ community and to work collaboratively in a team environment 
• Motivated self-starter who can take a project and run with it without much direction or micromanagement 
• Servant leader mindset - go above and beyond to help others and serve our school community
• Ability to be flexible and to think and respond quickly when something unexpected happens
