Menlo School is looking for an experienced senior-level operations and facilities professional. Reporting to the Director of Operations and Construction, this role will help to deliver the full scope of the Operations and Construction function at the school but serve as the primary leader of a talented and experienced facilities team. As such, this exempt position will be expected to be the lead coordinator and problem solver on small and medium capital improvements and construction projects, will have primary responsibility for the delivery of maintenance, janitorial, groundskeeping, and event management and will serve as a strong and influential voice on the most complex and complicated projects and opportunities facing the school. More specifically, this position:
- Demands a sophisticated skill-set relating to setting and re-setting priorities in a complex and dynamic organization.
- Requires a sophisticated capacity to interact with and motivate, cajole and inspire vendors and contractors to ensure projects are executed in a timely, cost effective, and high-quality manner.
- Supervises, evaluates and motivates a 20-person facilities maintenance staff who do a brilliant job of keeping a beautiful campus vibrant and functional for the students, teachers and staff who get to work at Menlo by attending to mechanical, electrical, plumbing, carpentry, painting, grounds, and machine and electrical servicing for the organization's buildings and grounds.
- Oversees a loyal custodial crew made up of school and contracted employees to ensure the campus is kept clean and orderly including such cleaning that is required for School events.
- Partners with School staff, parents, and other stakeholders to ensure that the many events that happen annually on our campus are set up correctly and run smoothly.
- On occasion, this may be a “hands on” position that requires some physical effort involving light work moving or lifting furniture and equipment.
Primary Responsibilities
- Primary responsibility for:
- Building maintenance
- Grounds, trees, athletic field and parking lot maintenance
- Facility janitorial services
- Pest Control
- Apartment maintenance and transition services between tenants
- Small projects as assigned
- Interface for event scheduling
- Campus event setup, takedown and support, interface with event constituents
- Directly supervises the staff responsible for the work in the above areas including the Operations Services Planner.
- Delivers projects from start to finish independently.
- Is relentlessly committed to the upkeep of the physical environment including ensuring Menlo’s capital plan is executed to schedule and ensuring that both preventive and routine maintenance are performed to plan.
- Engages, connects and communicates effectively with Facilities Team members to ensure their enjoyment and success in the school in ways that sets the conditions that all School areas are kept up to the standards expected for a safe, and extremely well maintained environment.
- Maintains and enjoys relationships with numerous stakeholders regarding event setups and associated custodial services.
- Serve as a consummate problem solver when faced with concerns, complaints, open work requests, or the inevitably emergencies.
- Maintain a firm grasp of procedures and regulations, and obtain necessary resources in order to coordinate workflow and ensure effective and efficient operations and employee success.
- Employ creativity and insight to develop and improve our preventive maintenance programs including working with and soliciting bids from contractors for work to be outsourced.
- Performs other related duties as needed.
Requirements
- Bachelor's Degree from a four-year college.
- Minimum of five years prior facilities, maintenance and/or project management experience with significant knowledge in the following areas: mechanical, plumbing, electrical, HVAC systems and controls, carpentry, construction, etc.
- Customer and team focused: Ability to engage collaboratively and diplomatically with stakeholders and team members.
- Reasoning Ability: Ability to interpret and follow a variety of instructions furnished in written or oral form. Ability to solve problems in a practical and efficient way.
- Strong organizational skills, attention to detail, and demonstrated ability to manage multiple projects simultaneously and adapt to changing priorities.
- Language Skills: Ability to read and interpret documents written in English such as work requests, repair requests and event setup agreements. Ability to speak effectively and empathetically with employees and individuals in a professional manner. Ability to speak and write in Spanish is preferred.
- Prior people management experience.
Physical Abilities
- Requires the ability to sit, stand and walk for extended periods of time.
- Requires the ability to lift up to 25 lbs.
- Requires the ability to climb ladders, and occasionally work from heights.
- Requires the ability to work outdoors in hot and cool environments depending on the season.

Pay range:
In the spirit of pay transparency we share the base salary range for this position: $140,000 - $180,000. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
