The Virginia Association of Independent Schools (VAIS) is seeking a full-time employee to oversee its business operations. The non-profit Association operates on a lean budget, is fiscally healthy, and produces consistently clean audits. The new employee will follow a long-tenured Director of Operations and join a small but mighty staff that is dedicated to advancing independent education in Virginia through accreditation, professional learning, and advocacy.
Applicants should be interested in a small office setting where teamwork, the ability to collaborate on various tasks, and excellent service to our member schools and corporate supporters are required.
Applicants with association experience will be preferred.
Business operations include the following:
- Utilizing accounting software to record receipts, and prepare invoices, bank deposits, and payables;
- Preparing monthly year-to-date budget-to-actual reports;
- Supporting and preparing reports for the Finance Committee;
- Working closely with the Executive Director in the preparation of the Association’s annual budget;
- Collaborating with staff to oversee individual budgets on a regular basis;
- Preparing all necessary documentation for the annual audit and the 990;
- Coordinating the process of bidding out the audit every five years;
- Overseeing the review and implementation of investment policies;
- Reviewing the strategic plan and related financial planning with the Executive Director;
- Overseeing insurance, equipment and automobile leases, purchasing, and contracted services;
- Overseeing implementation of all human resources policies, programs and contracts: payroll processing, Multiple Employer Retirement Plan (MEP) contributions, flexible benefit plans, health insurance, and cybersecurity requirements and training;
- Participating in training to stay current on software applications and business best practices; and
- Performing related tasks as assigned.
Administrative functions include the following:
- Supporting logistics and functioning of the VAIS Board of Directors: scheduling meetings, agenda and documentation management, maintaining records;
- Maintaining an accurate calendar of VAIS events and meetings;
- Monitoring office equipment and troubleshooting support when needed; and
- Performing related tasks as assigned.
QUALIFICATIONS
- Bachelor’s degree and a minimum of 3 years demonstrated success in bookkeeping;
- Demonstrated commitment to high professional and ethical standards, including strict confidentiality;
- Willingness to submit to appropriate and/or required background checks;
- Highly organized, detail-oriented, and able to effectively manage time;
- Excellent verbal and written communication skills;
- Required technology proficiency: Excel, Word, accounting software, MemberClicks (or other association software), Google Suite;
- A strong aptitude for working with multiple technologies, both cloud-based and local hardware;
- Personable, responsive, and service-oriented; and
- A creative, flexible, and consummate team player.
