Position Summary
The Development Associate will be responsible for planning and implementing special events for cultivation, fundraising, and stewardship purposes, and managing operations within the alumni and development office. This person will report to the Director of Development. The Development Associate will also work to ensure seamless communications between the Alumni & Development Office and other key school stakeholders.
This is a year-round, full-time position without supervisory responsibilities and will require some work on evenings and weekends.
Primary Duties and Responsibilities
- Serve as the School’s lead for planning and executing all fundraising, stewardship, and alumni events:
- Develop comprehensive plans and timelines for events.
- Conduct post?event debriefings to evaluate successful elements and challenges encountered, incorporating that information into the planning and execution of subsequent events.
- Oversee the production of events, including content development, venue selection, data management, RSVP management, catering, volunteer coordination, and event?day logistics.
- Prepare budgets and periodic progress reports for the Director of Development and event chairs.
- Lead event-related meetings and ensure proper communication with chairs and staff regarding event goals, responsibilities, and follow?up.
- Act as a liaison with the School’s logistics team to ensure the school calendar accurately reflects all events (including location and specific time).
- Develop and maintain high professional standards and procedures for production of events.
- Attend school-wide events and meetings.
- Manage Development Office operations:
- Participate in development strategy sessions.
- Manage the overall development calendar in coordination with members of the Alumni & Development team.
- Help to identify and implement better office systems as appropriate.
- Manage department calendar.
- Oversee department purchasing, supplies, and budget.
- Manage gift processing, gift acknowledgements, and development invoices.
- Assist with prospect research.
- Assume other responsibilities as determined by the Director of Development.
Minimum Qualifications
- Bachelor’s degree or equivalent
- Three years of relevant experience in a development-related role, ideally in an independent school
- Understanding of Raiser’s Edge software
- Passion for event planning and execution
- Proven track record managing events and operations
- Outstanding interpersonal and communication skills
- Willingness to be part of a collaborative environment and work closely with colleagues and families
- Strong organizational skills and attention to detail
- Ability to communicate clearly and effectively, verbally and in writing.
- Positive attitude, flexible approach, and a sense of humor
