Assistant Director of Advancement Performance Profile – Temporary Position
Position Summary:
The Assistant Director of Advancement temporary position is a full-time 4-month position that works within the Office of Advancement and reports directly to the Director of Advancement. The primary goal of the Assistant Director of Advancement is to cultivate and steward constituent relationships, primarily in the areas of volunteer management, to maintain The Fay School’s donor database, and to offer event support and planning. The Assistant Director of Advancement works with other staff to manage and support various activities, projects, and areas of the school that fall under the umbrella of advancement.
Essential Duties and Responsibilities:
Primary responsibilities lie in parent relations, database management, special event management and assistance, and the overall support of advancement functions at Fay.
- Parents’ Club: Assist Director of Advancement in managing Parents’ Club Committees and activities.
- Provides support for the Parents’ Club, including grade parent communication, leadership for Parents’ Club events (Fall Festival, Faculty & Staff Appreciation Lunch, Family Engagement events and Sign-Up Socials), and strategic planning in the area of volunteer management.
- Parents’ Club Committees include to:
- Fall Festival, Faculty & Staff Appreciation, Family Engagement, Campus Decorations & Class Parties and Sign-Up Socials & Teacher Treasures
- Parents’ Club Events include but are not limited to:
- Fall Festival, Halloween Parade, Faculty & Staff Appreciation Luncheon, Family Engagement events (2 signature events and 2 spirit days/nights), in-class class parties (Halloween, Thanksgiving, Winter Holiday, and Valentine’s Day)
- Database Management: Maintain donor database (Raiser’s Edge) and deliver gift acknowledgments, solicitation mailings, and constituent and fundraising reports.
- Maintain constituent records by modifying records as directed by Director of Advancement
- Prepare tax acknowledgment letters as needed.
- Enhance and maintain database quality and improve the efficiency of the overall system.
- Generate mailing lists as needed.

- Team with the Director of Advancement to support all Advancement functions on an as-needed basis such as special event support at Annual Fund events, planning spring Gala, staff holiday party and other events as needed.
- Serves as a member of the Advancement Team
- Willing and able to routinely and appropriately use personal smartphone to utilize school apps to communicate, collaborate, and fulfill responsibilities as outlined in this Performance Profile.

- Supports the school and its leadership.
