Supervision of others: Social Media Curator; Recruiting Contractors
Location: Remote
Purpose: As the Admissions Manager, this position cultivates interest and engagement with student applicants, oversees the admissions process, and supports student enrollment. This position also works closely with the Head of School and Academic Dean.
Admissions Responsibilities (40%)
- Chairs Admissions Team
- Manages the admission process from initial contact to acceptance
- Develops yearly admissions timeline paired with recruiting strategy
- Responds to interested students and parent inquiries
- Tracks and engages prospective students and families
- Processes and maintains student application files and leads the application process
- Interviews student applicants
- With ED, facilitates scholarship process, including: monitoring Financial Aid interest and tracking student fundraising plans through application process, interviewing families, preparing for and participating in Scholarship Committee meetings
- Uses retention schedule to save or destroy admissions documents
- Provides quarterly Admissions reports to Head of School & Board of Directors
- Prepares, administers, and reviews application and enrollment evaluation
- Transitions accepted students’ files and communication to Program team and supports enrollment process
- Primary contact for SSN Admissions Committee
Recruiting Responsibilities: (30%)
- Organizes and executes webinars in collaboration with TTS team
- Ensures recruiting timeline and events align with admissions schedule
- Reaches out to schools and organizations to set up online and in-person events such as open houses, school visits, and presentations
- Contracts with local alum, TTS staff, and TTS supporters to help with events as needed
- Facilitates, plans, and leads events
- Designs and sends periodic e-blasts to prospective families through MailChimp
Marketing: (20%)
- Chairs Marketing Team
- Participates in admissions-related marketing messaging
- Updates digital and physical materials periodically (at minimum, annually) in collaboration with Marketing team
- Facilitates quarterly blog posts and newsletters
- Collaborates on recruiting communications & social media
- Serves as point-of-contact for external advertising efforts (e.g. Social Summer Camp)
General Office Responsibilities (10%)
- All members of administrative staff share in office maintenance functions
- Manages general “info” email
- Assists in database management
- Oversees Recruiting & Marketing budget and reviews it annually in collaboration with each team
- Participate in rotational on-call duties.
Working Conditions: Majority of work happens at a location of personal choice, outside The Traveling School Office. Time will be spent sitting, working on a Traveling School issued computer.
- Full-time position (40 hours/week) with flexible work schedule possible, allowing staff to fluctuate their daily start and end times.
- Work schedule shared weekly, ideally with consistency in majority of work hours
- October-November and January-March are particularly busy times when work may require over 40 hours/week. During these periods, extended vacations are not possible.
- Bozeman-based applicants preferred; however, non-Bozeman-based applicants will be considered.
- Non-Bozeman-based hires will be required to periodically travel to Bozeman.
- Must adhere to COVID procedures when working in person.
- Required to hold a valid driver’s license, required to provide own transportation.
- May travel up to three weeks a year (in and out of state) for admissions-related work.
- May be required to work evenings and/or weekends during special events.
