Admissions Office and Data Manager
The Awty International School has an immediate opening for a full-time Office and Data Manager in its Admissions Office. This position reports to the Director of Admissions.

Primary Role and Responsibilities:
The Admissions Office and Data Manager serves as the primary point of contact with admissions inquiries and visitors, and sets the tone for a welcoming and professional relationship with the admissions department. The Admissions Office and Data Manager will have the ability to connect with a diverse range of families and create an environment that aligns with our school mission and culture. This position is responsible for maintaining records in the admissions databases (Ravenna, Blackbaud), providing intelligence through data analytics, as well as for the organization and coordination of office operations, procedures, and resources to facilitate departmental effectiveness and efficiency. The ability to multitask, a positive attitude, and flexibility are important skills as this position supports the admissions team and also works cross-functionally with other departments such as the division offices, business office, advancement, the registrar, the clinic, and Information Technology.
Areas of responsibility include, but are not limited to:
Administrative and Office Support – Answer first lines of inquiry, screen, and transfer inbound phone calls. Receive and direct admissions visitors. Prepare and modify documents including correspondence, reports, memos and emails. Process inbound and outbound application materials. Maintain office calendar; schedule and organize appointments and meetings. Manage office email account and route messages promptly. Help execute admissions office events.
Data Management – Maintain inquiry and applicant records in admissions databases. Process documents and update records within 48 hours of receipt. Organize retention, protection, retrieval, transfer, and removal of both electronic and physical records. Ensure accuracy, integrity, security, and confidentiality of data. Coordinate with database administrators in other departments.
Reporting & Data Intelligence – Design and generate weekly and periodic reports to support enrollment management: admissions, advancement, school operations, and the business office. Handle requests for information and data. Provide data intelligence as requested or proactively identified.
Office Management – Maintain and upkeep office equipment and furnishings. Organize repairs and upgrades. Monitor and maintain office supplies inventory. Monitor and record expenses, and prepare expense reports. Troubleshoot computer and systems problems. Liaise with IT specialists. Implement office policies and procedures and ensure adherence to these. Prepare and update materials describing procedures and standards.
Minimum Requirements and Competencies:
- BA or BS degree
- Database experience
- Expert user of Excel, Microsoft Suite and other Office computer software and applications
Ideal Candidate
- Three years of experience with significant responsibility for critical operational data preferably in a school environment
- Experience with admissions systems such as Ravenna and or Blackbaud
- Multilingual speaker of English, French, and Spanish preferred

Physical Requirements and Work Environment
- Maintain emotional control under stress.
- Frequent standing, stooping, bending, pulling and pushing.
- Works in a very active environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts
- May work at a desk and computer for extended periods of time
- Be able to occasionally lift up to 30 lbs.
- Be able to work nights and weekends as required for events and/or projects
- Work primarily in a traditional climate-controlled office environment
- Work intermittently in outside weather conditions, including extreme heat and cold
