The Administrative Assistant for the Development Office will provide direct support to the development staff, donors, alumni and parent groups of Penn Charter. The administrative assistant for the Development Office performs a wide variety of administrative duties in support of Penn Charter’s fundraising, donor relations and alumni programs. The scope of work includes maintaining, receiving, organizing and distributing records and correspondence as directed.
Essential Functions
- Assisting in the coordination and preparation of materials for development programs, events or presentations.
- Answers and directs departmental phone calls
- Receives and distributes office mail
- Schedules and organizes appointments; takes minutes during departmental meetings
- Other Duties as assigned
Competencies
- Ability to handle confidential financial data and donor information in a discrete manner
- Excellent organizational skills and interpersonal skills; must be able to work independently and also be a team player
- Extensive knowledge of office management systems and procedures
- Ability to operate general office equipment
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office and Google Suite software
- Excellent time management skills with a proven ability to meet deadlines
- Strong analytical and problem-solving skills
- Ability to prioritize tasks
Physical demands
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times

Required Qualifications
- College Degree in related field (Extensive experience may be considered in lieu of)
- Experience in working in an educational institution or non-profit organization
Preferred Qualifications
- Familiarity with Quaker Education and the Religious Society of Friends
- Experience in working in a PK-12 school environment
