Position Summary
The Director of Auxiliary Programs oversees three elements of programming at Rowland Hall: the SummerWorks program, the Extended Day Program for grades PK-8, and the Winter Sports program for grades 1-8, as well as grow our partnerships and facilities rental programs. In all of these programs, the Director develops, maintains, and assesses educational, social, and recreational programs that are relevant and age-appropriate. The Director of Auxiliary Programs will look to grow and enhance extracurricular offerings and provide a diverse array of stimulating educational activities and enrichment opportunities. The Director is responsible for hiring, training and supervising a diverse staff while ensuring that children are engaged and appropriately cared for. In addition, the Director oversees all operational and financial aspects of the programs and works closely with administrators at the Beginning, Lower and Middle Schools. In addition, the Director is charged with establishing and creating partnerships with other organizations in order to utilize the Rowland Hall campus during the summer or after school to create more opportunities for students and employees, as well as create a revenue stream for the school. The Director also serves on the Administrative Council.
Primary Job Responsibilities
SummerWorks: The Auxiliary Program Director designs, markets and runs a successful nine-week long summer program for students within and beyond the Rowland Hall community. SummerWorks mirrors Rowland Hall in that it is an enriching and thoughtful program with opportunities for students to move, create, and take on new activities.
- Oversee all aspects of the summer program including developing engaging, age-appropriate programming for campers from ages four to fifteen to meet the needs and interests of students and families
- Market Rowland Hall summer programs within and beyond the Rowland Hall community by working collaboratively with the marketing and communications department on the website and other forms of social media
- Attend community events to represent and advertise summer program
- Serve as first point person for parents and families about the program; warmly and efficiently represent the school through timely responses to questions or concerns
- Hire all staff (Including job descriptions, interviewing, checking references)
- Provide contracts for each staff member. Train and supervise once hired
- Be an active role model and mentor to all staff and counselors in training
- Create and maintain a budget in collaboration with the Chief Financial Officer (CFO) and provide a year end report
- Track and submit all invoices to billing department and manage payroll
- Work closely with community partners (Westminster College, SPORE, Wasatch Community Gardens, YMCA Camp Roger, Salt Lake City Library system) to maintain and strengthen existing relationships and establish new partnerships
- Work closely with operations and transportation to coordinate all building usage and transportation
- Train staff and campers on emergency procedures; communicate relevant information to parents
Extended Day Program and Winter Sports: Working closely with the Extended Day Director, the Auxiliary Program Director supports the development and maintenance of the before and after school program which includes enrichment opportunities. The Director also supports and oversees the Extended Day Director in creating and coordinating the Winter Sports program which consists of five Friday afternoon classes from mid-January through February. Other duties include supervising and partnering with the Extended Day Director to:
- Create a student-centered program to include development and organization of all trimester enrichment classes
- Interview, hire, train and supervise all staff and enrichment instructors
- Oversee master calendar in terms of classes and staffing schedule
- Create and oversee registration process
- Communicate effectively & in a timely manner with parents and maintain parent portal information
- Coordinate room usage with operations & master school calendar
- Manage budget to include billing and payroll, and program profit assurance
- Organize special day programs when school is not in session
- Communicate regularly with division principals to create policies that are consistent with the school’s overall policies
- Oversee classes, instructors, activities, transitions and check-in and check-out
- Work with the Technology department to ensure systems are coordinated and communication is seamless
Partnerships & Rentals: The Director of Auxiliary Programs will also be responsible for identifying ways in which the school can make full use of its facilities for after school programming and during the summer. Job responsibility includes building ongoing partnerships with outside organizations. The Director should grow revenue to support the school. The Director will work closely with other leaders at school (Operations, Principals, Finance) to consider options and build a program from the ground up.
Skills and Requirements
- Bachelor’s degree or higher in the area of recreational and or experiential education
- Ability to hire, train, and supervise staff members as well as work with children
- Prior experience working with children ranging in age from first through eighth grades
- Excellent organizational and time-management skills
- Excellent interpersonal skills, whether with parents, colleagues, or children
- Ability to respond to diverse situations in a calm and positive manner
- Experience managing a budget and payroll
- Demonstrated ability to assess, establish and adhere to risk management in an extended-day, summer camp, or trip program
- Desire to assess and improve programs for the benefit of students and school
- CPR & First Aid Training required
