Lakeside School, an independent 5-12 coeducational day school located in North Seattle, is currently recruiting for the Heads Associate/Board Secretary position. We are looking for someone who can provide executive level support to the Head of School in the areas of administration, governance, and Board of Trustees.
Responsibilities
1. Project and document support for the head of school; work closely with the head on Lakeside’s administration and governance, current projects, and new initiatives:
- Review, edit, and proofread all documents prepared by the head of school, including memoranda, correspondence, and student and advisee comments.
- Write or edit standard writing projects as assigned (e.g., all-school letters, Lakeside magazine and Inside Lakeside articles).
- Write citations for school awards and honors, including retirements.
- Assist the head as needed with any and all aspects of strategic initiatives, including research, correspondence, minutes, and document preparation.
- Assist the head with his involvement in regional or national organizations as requested.
- Assist the head with directors group meetings. Draft and circulate agendas, take and distribute minutes, coordinate event plans with main office staff. Attend and take minutes at other administrative meetings and meetings of ad hoc committees.
- Maintain documentation of Lakeside’s four endowed faculty chairs and manage nomination process when turnover occurs.
2. Maintain a close working relationship with the head’s executive assistant and main office support staff, collaborating on logistics and timing to ensure that deadlines are met and tasks carried out effectively. Participate in calendar summit.
3. Act as secretary to the Lakeside School Board of Trustees:
- Manage the board’s annual calendar, scheduling meetings and preparing all communications and meeting invitations for board members, including reschedules.
- Maintain annual documents: board and committee rosters, calendar summary, board manual. Update bylaws, articles of incorporation, etc.; share with business office.
- Attend all board meetings (board, committees, retreats), taking minutes and preparing them for distribution. Work with school head, administrators, and committee chairs on meeting agendas and supporting documents; upload meeting documents to the board portal. Prepare board meeting minutes for signatures and filing with archives.
- Maintain board records: leadership history, Distinguished Service Award list, etc.
- Manage Board of Trustees annual budget.
- Arrange board events, working with main office staff as necessary on retreats, end-of-year dinner, meeting event plans. Support trustees’ participation in commencement.
- Work with head’s executive assistant on gifts for trustees leaving the board and employees (20+years) leaving the school. Write text for plaques those receiving Lakeside chairs.
4. Collaborate with other offices.
- Edit donor letters and other writing projects for the development office as requested. Share updated board membership with development office. Work with events coordinator when trustees have graduating seniors.
- Work with communications office to update board portal access and update board page on Lakeside’s website. Edit and proofread for the communications office as requested.
5. Manage annual update of the school’s employee policy manual and supplemental employees manual; produce updated manuals as needed.
Qualifications (Knowledge, Skills and Abilities)?
1. Top-quality writing, editing, and proofreading skills.
2. Ability to take minutes of meetings accurately, and swiftly; produce documents and reports; and take rough information and data and transform them into polished presentations.
3. Excellent organizational and project-management skills for tasks of any size and complexity, including the ability to forecast, track, and complete multiple projects and assignments simultaneously.
4. Strong written and oral communications skills and ability to build relationships with core constituents, including administrators, trustees, staff and faculty colleagues, and parents/guardians.
5. Demonstrated ability to exercise discretion and independent judgment and to maintain a high level of confidentiality in all aspects of the job.
6. Broad understanding of the role, function, and governance of nonprofit and educational institutions.
7. Proficiency with Microsoft Office software, particularly Outlook, Word, and Excel.
8. Demonstrated cultural awareness, including knowledge of themselves and the cultural lenses they bring to interactions. The candidate will understand different perspectives; interact respectfully with cultures other than their own; and cultivate meaningful relationships with people that have different cultural frameworks.
9. Candidates must satisfactorily complete three criminal history background checks.
Education and Experience:
1. Bachelor’s degree required.
2. Two to four years of experience in a similar position are required, ideally in education though backgrounds in corporate, nonprofit, or governmental sectors are acceptable.
3. Candidates should have demonstrable experience in document production, including correspondence, reports, spreadsheets, and other modes of communications.
Physical Requirements:
1. While performing the duties of this job, employees are regularly required to sit, walk and stand; talk or hear in person, by telephone and by computer; use hands repetitively to finger, handle, feel or operate standard office equipment; reach with hands and arms
2. and carry office related supplies and equipment.
3. Ability to walk from Upper School to Middle School campus (about 3 long blocks away).
4. Ability to lift up to 25 pounds overhead.
5. Standing/sitting for long period of time during event days which exceed eight hours.
6. Potential exposure to dust.
7. Exposure to outside weather conditions such as rain, snow, wind and fog.
