JOB DESCRIPTION
Summary
Crystal seeks a full-time exempt (1.0 FTE, 12-month) Upper School Program Manager. The Upper School Program Manager is responsible for providing logistical and operational support to the Upper School Community (including our professional adult community, parents/guardians, and students) to ensure smooth functioning and effective deployment of resources. More specifically, the US Program Manager provides critical support, serves as a liaison, and provides strategic counsel to the Head of Upper School and the Upper School Dean of Students by anticipating their daily, weekly and long-term needs in a confidential and professional manner. The Upper School Program manager is the face of the Upper School Office, ensuring a positive, supportive and warm environment. This role holds the balance of high level operational oversight and day-to-day management of the Upper School experience.

Head of Upper School (HoUS) Support
- Serve as executive assistant, advisor, and thought partner to HoUS
- Assume day-to-day responsibility for projects, tasks, and events at the HoUS’s behest, including meeting preparation, note-taking, and follow-up
- Create and maintain cross-departmental relationships to enable leadership success and provide feedback to the HoUS
- Assist in managing the HoUS’s schedule, including acting as a gatekeeper to ensure the HoUS’s involvement in a project or decision-making process at the right moment
Upper School Program Support
- Provide operational and logistical support to US programs under the US Director of Student Equity and Engagement, the US Director and Teaching and Learning, and the US Director of Academic Support
- Coordinate with Director of Operations re: special events, schedules, drills
- Liaise with the Chief of Staff and Middle School Program Manager to ensure efficient management of tasks and projects across both campuses
- Manage US faculty and administrative staff finalist hiring processes in conjunction with Human Resources and Department Chairs
- Create and communicate special schedules and maintain the Upper School Master Calendar
- Coordinate logistics for Upper School events/schedules such as Convocation, Commencement, Back To School Night, Awards Ceremony, finals week, etc.
- Manage US communications as US Liaison to the Communications Committee
- Manage Upper School Program Assistant
- Provide logistical support for US meetings, retreats, etc.
Student Support
- Provide support for student incidents during school day
- Oversee senior parking logistics
- Track student attendance (including check-in and check-out) in coordination with US Director of Student Equity and Engagement
- Oversee student test proctoring and mandatory study hall coordination
- Maintain a positive Upper School office environment for students, visitors, and PAC in need of assistance

The effectiveness of this position will be measured by the following:
- Timely and quality completion of operational and logistical tasks to support HoUS and upper school program administrators
- Effective and timely scheduling and calendaring for the HoUS
- Successful meeting of deadlines
- Maintaining positive relationships within the community
- Improved efficiency and successful execution of Upper School events and programs
- High levels of trust maintained with parents/caretakers/students and colleagues
Education, Certifications, and Work-Related Experience
- Associate’s degree or bachelor’s degree or equivalent combination of experience and education is required
- 3+ years of experience working in an office or school setting in a similar or related capacity.
- Operational knowledge of web-related technologies
- Operational knowledge of google applications and Gmail
- Operational knowledge of MS-Word, Excel and PowerPoint
Physical Requirements and Work Environment:
- Able to work in a dynamic environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts
- Able to lift up to 20 pounds
- Able to climb stairs
- May work at a desk and computer for extended periods
Travel Required
Light travel between the Middle School and Upper School campuses, as needed.
