Position Summary:
The Student Billing and Accounting Associate will be responsible for managing the efficient and effective organization and operation of all functions related to the student billing process including accounts receivable. This position will be involved in financial aid and third-party rentals as well as assist in other functions of the business office. The employee will also be responsible for collaborating and working in partnership with various departments across campus to make decisions to execute and improve processes.
The incumbent will utilize knowledge in the use of general ledger software, accounts receivable, administration, organization, effective communication, and customer service to proactively support the daily accounting procedures.
Essential Functions (not limited to)
Student Billing
- Manage and have ownership of all student billing processing and maintain accurate records. This includes recording of tuition and fees and other student related transactions, monthly student billing, deposit, collections, etc.
- Manage, investigate and resolve a high volume of inquiries and requests from parents, students, staff, administration and faculty regarding the Student Billing Process.
- Regularly monitor student billing aging and contact families with past due balances. Identify emerging collections issues for appropriate action by Director of Finance and Operations and the CFO
- Reconcile monthly the student billing subledger to the general ledger as well as other student related general ledger accounts.
- Review processes as needed and recommend improvements for effectiveness and efficiency
Cash Processing
- Deposit and record all miscellaneous checks in a timely manner
- Track and follow up on any owed accounts receivable balances
Financial Aid
- Analyze families’ submissions into financial aid system and related supporting documentation to determine eligibility for financial aid and the Greenwich Academy’s Expected Family Contribution (EFC).
- Develop management reports tracking historical financial aid awards, SSS recommended EFC, approved adjustments and final EFC approved by Financial Aid Committee.
- Work closely with Director of Admissions and Financial Aid and the CFO to establish and document financial aid process.
- Serve on the Greenwich Academy’s Financial Aid Committee presenting recommendations with special considerations taken into account on awards for each recipient.
- Support the Director of Admissions and CFO to analyze new information provided by families during appeal process for re-evaluation of financial aid grant.
- Update and accurately maintain official system of record for financial aid grants.
Third-Party Rental
- Responsible for third-party rental coordination. This includes evaluating requests, issuing rental agreements, collecting insurance and other pertinent information, approving date availability, and collecting the rental fee
- Works with the respective administrator of the Athletic and all school calendars regarding requests and approvals of facility rentals
- Bachelor’s degree in Accounting or related field preferred
- Two (2) to five (5) years of experience directly related to the duties and responsibilities
- Demonstrates strong understanding and competence of accounting principles
- Highly organized with an ability to multi-task and work with a high degree of accuracy, attention to detail and follow through
- Strong technology skills in Veracross or similar accounting software, Excel, and Word. Veracross experience preferred
- Strong interpersonal skills that lead to the cultivation of relationships with parents and colleagues. Excellent oral and written communication
