POSITION SUMMARY: Oversee and directly implement all aspects of Human Resources functions for The Frances Xavier Warde School (School) including employee relations, training and development, compensation, compliance, benefits administration, policy and procedure development, and performance management. Perform all duties demonstrating consistent support of the School’s mission and values.
ESSENTIAL FUNCTIONS:
- Serves as a key member of the organization representing employee welfare, including but not limited to living the School culture and providing employees with respectful, consistent and trustworthy Human Resources support.
- Manages the school’s HRMS (Paycom)
- Handles Benefits Administration including plan design, communicating benefits information to employees, and handling general benefits questions from employees. Proactively and regularly, communicates benefits information to employees in a language that is understandable and valuable to them.
- Coordinates 403(b) testing annually
- Maintains data for personnel sections of school surveys within independent schools (i.e., NAIS, NBOA, ISACS, ISBE)
- Develops School Human Resources policies and procedures in support of the School culture. Annually updates the school’s Employee Handbook. Oversees communication and delivery of Human Resources Policies to all employees. Discusses any new policies or policy changes with management to receive appropriate approvals.
- Responsible for handling all areas of compliance as they relate to Human Resources. This includes but is not limited to Immigration, ADA, COBRA, FMLA, FLSA, HIPAA, ERISA, GINA, EEO and USERRA compliance. Create communication pieces for employees and managers regarding their responsibilities with compliance issues. Complete, track and/or file all compliance documentation accordingly.
- Meets and consults with supervisors and/or employees on matters of employee relations.
- Prepares and maintains all salary planning worksheets, manages employment agreement process and timeline, and prepares employment and additional duties agreements.
- Manages payroll process. Handles all payroll questions and processes applicable payroll reports regularly. Annually processes W-2s.
- Coordinates all recruitment efforts for staff openings. Assists faculty leadership with recruiting efforts and interviewing for all levels of positions as necessary.
- Conducts all background checks.
- Administers exit process; terminates benefits, coordinates COBRA benefits, responds to unemployment insurance claims, issues service letters and HIPAA certificates.
- Analyzes, recommends, and coordinates training modules for managers and employees on a regular basis. Provides regular training and development to managers on specific topics relating to Human Resources.
- Keeps all job descriptions current.
- Designs and presents the new employee orientation for staff members. Participates in annual faculty orientation. Provides all new employees with basic school information, a welcome kit, benefits information, and necessary forms.
- Consults with legal counsel when appropriate and/or when directed by management regarding personnel activities or compliance issues.
- Maintains and periodically audits all employee personnel files. Works with division and department heads regarding access to specific information within the personnel file.
- Performs other duties as assigned.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:

- Bachelor’s degree from a four-year college or university.
- A minimum of five years of Human Resources experience and/or equivalent combination of education and experience.
- Human Resources background in the education field strongly preferred.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers and employees.
- Knowledge of Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint and Access is required. Familiarity with HRIS is preferred (Paycom).
- The position requires strong attention to detail and organization.
- Demonstrated ability to communicate effectively with all levels of faculty and staff required.
- PHR or SPHR designation is strongly preferred.
