About the Position
Grace Church School seeks a full-time Special Projects and Events Coordinator to join its Advancement Office. The Special Projects and Events Coordinator is responsible for the implementation of special events, including Grace’s annual Auction Benefit and Alumni Reunion, and is the primary liaison with our Parents Association volunteers.
The ideal candidate has excellent interpersonal and communication skills – both written and verbal – a keen attention to detail, a sense of humor, and an agile approach to their responsibilities in a busy, collaborative Advancement office.
The Coordinator partners with the Parents Association providing them with logistical support as necessary. The Special Projects and Events Coordinator position requires occasional evening and weekend participation at events, both in-person and virtual.
The goal of this position is to help the Advancement Office facilitate a volunteer environment that offers opportunities for all members of the Grace community to fully participate in the life of the School - as they are able based on their time and expertise.
Responsibilities include, but are not limited to the following:
Serve as Primary Liaison for the Parents Association
Special Events
- Manage logistics for Grace’s annual Auction Benefit
- Coordinate key Advancement events, including but not limited to the New Parents’ Reception, donor stewardship and cultivation events, VIP Day for Grandparents and Special Friends, Alumni Reunion, and volunteer appreciation events
- Support major school events including Commencement
- Liaise with volunteers
Advancement Services and Data Management
- Manage pre- and post-event activities, including prepping mailing lists, sending invitations, tracking attendance, sending acknowledgments, and reporting
- Manage auction item data management including donation tracking and reporting
- Process gifts and follow-up acknowledgments in collaboration with the Database Manager
Team Collaboration
- Attend Advancement / Alumni Relations and other school events and become a visible and engaged community member
- Serve as a team liaison within the school community
- Perform other responsibilities as assigned by the Director of Advancement in support of Advancement goals
- Bachelor's Degree
- Prior events experience
- Proficiency with Google Workspace and related programs, project-management software and platforms
- Familiarity with The Raiser's Edge (RE) or comparable CRM
- Experience with Zoom
- Familiarity with bulk emailing systems
- Enthusiasm for education and supporting the values outlined by the mission
