Director of Summer and External Programs
The Assistant Director of Summer and External Programs will assist with the coordination and administration of both internal and external summer programming at Mercersburg Academy, with a primary focus on recruitment and management of external programming and facility rentals. This position requires a strong aptitude for professional communication, public relations, and organizational skills. The position demands the ability to multitask in an active environment and also carries an expectation of being able to work independently within the framework of projects.
Long days are standard with this position, and applicants should expect to work evenings and weekends during the summer months (June - August).
Responsibilities and Duties

Manage external groups for facility use and rentals to support the summer programming calendar and mission, with the intent to increase non-tuition revenue accordingly.

Actively market campus resources to potential external customers, respond to inquiries and meet with organizations that are interested in renting campus facilities.

Coordinate the needs of external facility use customers with internal departments as needed (campus safety, dining services, gym, etc.).

Oversee timely billing of external facility usage, ensuring on-time payments.

Assist the director in enhancing and expanding internal summer program offerings that align with the program vision and alternative revenues financial objectives.

Support marketing efforts for internal summer programs, which will include travel to school and camp fairs during the winter and spring marketing seasons.

Participate in summer employee recruiting, vetting, hiring, training, and supervision.

Provide general day-to-day support to the office summer and external programs, including managing general phone calls, email, voicemail, calendars, database (CampBrain), invoice processing, check requests, and monthly budget reconciliation.

Oversee summer programming logistics which includes management of facility usage and schedules, distribution of keys, fobs, and supplies, and maintaining active inventory and sign-out records.

Engage in various internal summer program activities to build relationships with participants, as well as evaluate camp programming and staff.

Assist program directors in event set-up as needed.

Assist in training and evaluation of summer employees, counselor schedules, timesheet reconciliation, and other employment-related tasks.
