Key School is seeking a full-time (10-month) Lower School Administrative Assistant for the 2024-2025 academic year. This position supports the Lower School office, faculty, students, and families, including processing Lower School attendance, organizing and coordinating substitute teachers, and coordinating student assemblies and special programs.
Job Responsibilities:
Coordinate with faculty and substitutes daily – and in advance whenever possible – to fill the substitute needs of the division and substitute when needed
Create and update all meetings and appointments via Google Calendar
Plan and organize parent/guardian connection events, including communication with families and faculty
Plan and organize Lower School assemblies and other special events
Provide hospitality for Lower School meetings and professional development
Oversee daily attendance for all students in the division, work with the faculty to gather information in a timely way, and complete the process by approximately 9:30 a.m. each morning
Create and maintain an organized and responsive office environment in partnership with the division head and fellow administrative assistant
Attend weekly office meetings (or additional meetings as needed) with a common goal of planning and organizing office responsibilities

A demonstrated commitment to confidentiality and professionalism
Solid technical skills in Google Workspace and ability to use the school’s database system, Senior Systems
A high level of cultural competency
Friendly, patient and calm disposition, especially with children
Demonstrated ability to handle multiple tasks at once with attention to detail
Qualifications:
High School Diploma or GED and two years of office experience required
Organized and systematic thinker

Daily desk work, including significant amounts of telephone and computer time; as part of daily routines, the ability to move around a mid-size campus with uneven pavement and manage stairs; frequent walking inside and outside responding to campus issues and/or checking on various departmental progress.

Technical Competencies:
Key is a Google Workspace for Education school. Candidates should be proficient in using Google applications, have a solid understanding of cloud-based storage and file-sharing platforms, and efficiently manage email and scheduling using Gmail and Google Calendar. They should be proficient in virtual communication tools such as Zoom or Google Meet and have basic troubleshooting skills to resolve common technical issues that may arise in the classroom.
Work Schedule/Travel:
Occasionally, business and school functions may require your presence to work flexible hours, including nights and/or weekends and travel outside of Annapolis.
