* Oversee the maintenance of student records, including legal, discipline, and academic records. Archive or dispose of the appropriate student records after graduation or withdrawal. * Maintain files for current students. * Maintain files and accurate lists for graduated and withdrawn students. * Send transcripts, when requested, to other schools and institutions of higher education (for current and former students). * Send student, family, and outside organization student GPA, when requested. * Ensure the accuracy of transcripts and update as needed (including the accuracy of honors designation and grades & credits for every class). * Respond to employment verification requests. * Record updates through the Student Withdrawal Group of student and family information in the database and notify appropriate people as needed. * Coordinate Senior students' participation in the annual Erie & Niagara County Scholastic Achievement Recognition Dinner. * Work with the Admissions Office to acquire all required report cards or transcripts for students new to Nichols. * Promptly troubleshoot and resolve any My School App-related issues. * Schedule quarterly ARC meetings and take meeting minutes. Promptly draft and mail ARC letters, provide copies to Advisors and Deans, and file. * Provide support to the appeal for five or more AP courses process. * Confirm special schedules, review for accuracy and input into MSA. * Work with the Dean of College Counseling and Academic Affairs and the Marketing team to manage annual Curriculum Guide edits and updates. * Interact with students, faculty, and parents to answer questions and address concerns related to transcripts, grades, and other academic records. * Support Parent/Teacher conferences. * Collaborate with the College Office on transcripts for the college process. * Provide needed support for PSAT and AP exams administration. Grade Management * Grade reporting: Oversee the entry of student grades into MSA for each interim and final marking period for both Middle School and Upper School. * Coordinate interim and final marking period due dates with Division Heads. * At the end of each marking period, communicate to faculty/advisors the due dates for grades and comments and provide best practices on how to enter grades and comments. * Assure all grades and comments are entered properly and with accuracy, routinely check the status of grades/comments and notify faculty/advisor of any issues. * Coordinate with Class Deans and Advisors regarding grade review. * Accurately calculate honors designation and add to report cards. * Prepare mid-mark and quarterly report cards and coordinate with Division Heads and the Marketing Team regarding the release of grades to families. * Prepare report cards for external scholarship organizations and send them each marking period. * Enter or change grades/comments as needed. * Execute end-of-academic-year tasks such as reviewing transcripts for accuracy, entering student awards, calculating and entering year-end honors designation, and managing year-end comments from Advisors.
ADMINISTRATIVE SUPPORT:
Associate Head of School/Head of Upper School * Respond promptly to meeting requests with the Associate Head of School/Head of the Upper School’s availability and add holds to the calendar. * Coordinate on-campus faculty interviews and coordinate travel when needed. * Attend calendar meetings, add Upper School related events, and coordinate work orders if needed. * Support faculty teaching observation and reappointment letter sign-ups * Provide support to year-end events (Verdian Day, Senior/Faculty luncheon, and Commencement)
Dean of College Counseling & Academic Affairs and Grade-Level Deans * Work with the Dean of College Counseling and Academic Affairs on Work of Life application submissions. Compile applications and group them appropriately for the Dean of College Counseling and Academic Affairs to review. * Work with the Dean of College Counseling and Academic Affairs and faculty members on Research Scholar Program application submissions. Compile, read, and redact applications. Pull transcripts to add to applications and provide them to the committee for review.
General * Work with the Human Resources Generalist to enter Upper School faculty absences in the absence chart. * Coordinate temporary room relocations and communicate with faculty and students. * Attend Department Chair, Operations Team, and ARC meetings to take meeting minutes. Scheduling * Support Dean of College Counseling and Academic Affairs with scheduling related tasks: * Input all course information, lunch blocks, teaching assignments, and room assignments. * Input rosters and course information for class rotations (Freshman Arts, Wellness, Community and Self) * Coordinate data entry and proof schedules in automated scheduling systems. * Input course request changes and schedule changes as requested by Deans.
SKILLS AND QUALIFICATIONS: * Organization rules, statistical processes, and procedures specific to the scheduling process * 5+ Years Experience * Knowledge of scheduling systems * Experience with data processing * Must be able to manipulate data electronically * Ability to communicate technical/complex information both verbally and in writing * Perform multiple tasks concurrently * Strong communication skills
