The Purchasing Associate and Transportation Coordinator responsibilities include, but are not limited to:

Purchasing

• Is responsible for all K-12 purchasing using Wildwood’s online purchasing system.
• Monitors purchases to ensure on time delivery.
• Reconciles shipment’s packing list with purchase order and verifies quantity and quality of the merchandise received.
• Helps coordinate delivery of supplies to offices and classrooms.
• Serves as the go to person for employees in need of assistance coordinating new orders or following up on previous ones.
• Reviews and codes invoices and credit card statements. Provides final approval before sending invoices to the Business Office for payment.
• Assists in maintaining the school’s K-12 inventory system.

Transportation Coordinator

• Responsible for the coordination of all bus transportation needs K-12, serving as the primary contact for the school community and contracted bus companies.
• Coordinates and communicates with the bus company’s dispatch and bus drivers to ensure routes are covered and on schedule.
• Record and track student transportation registration forms.
• Works with the Advancement team on a communication plan to keep parents informed about Wildwood’s transportation program.
• Manage transportation requests and logistics for the Athletics program and student field trips.
• Maintain a record of student counts and attendance for school bus routes and shuttle between the elementary and middle upper campuses.
• Helps problem solve issues such as late buses, mechanical problems, and traffic, that may affect students as they prepare to come to school. Communicates with parents and bus companies in the event of delays, route changes, or emergencies.
• Reviews and reconciles billing from bus companies and sends coded invoices to the Business Office.
• Reviews bus routes on an annual basis to ensure safety, efficiency, and service to the community. Coordinates new routes based on current student transportation needs.
• Participates in transportation contract negotiations along with the Facilities Director and CFO.

Additional Duties

• Assists in the management of Westside Towers student and faculty parking.
• Assists with carpool as needed (morning drop off and afternoon pick up at Westside Towers).
• Assists with all school safety procedures including earthquake preparedness inventories.
• Perform additional duties as requested by the Facilities Department.

Requirements

• Bachelor’s degree
• 1-3 years of purchasing and bus transportation experience
• Proven capability to work effectively and collaboratively as part of a team within a diverse and dynamic community, maintaining professionalism and confidentiality
• Outstanding organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines effectively
• Excellent written and verbal communication skills
• Fluency in Microsoft Office and Google Suite
