Middle School Administrative Assistant - Effective Fall 2024

Columbus School for Girls seeks to hire a full-time Middle School Administrative Assistant immediately for the current 2024-2025 academic year. This position is a 10-month position following the faculty calendar. It will require 13 additional days; 5 at the start of the school year, 5 at the end of the school year and 3 throughout the summer.
Major Functions and Responsibilities:
Maintains daily student attendance records, runs reports, and reviews information with teachers to ensure legitimate absences. Contacts parents if a student cannot be accounted for.
Manages the Middle School Office; answers phones, signs students in/out for appointments, orders supplies for the office, takes messages for the Director, enters in maintenance requests as needed
Produces the yearly planner for faculty and students
Gathers information about the required student supplemental materials needed for the year and communicates information to families
Manages the daily calendar for the Director and assists with clerical duties
Reconciles the credit card statements and assists with budget tracking
Assists with Middle School grade reporting and record keeping. Secures substitute teachers through the ESC and provides the weekly report to the Business Office to ensure payment
Updates the Middle School page on the website
Sends regular communications to parents at the direction of the Director
Assists with planning all special student events, IT requests, setup requests, and catering requests
Maintains the Middle School calendar and attends the Operation Committee meetings
Covers for the Front Desk receptionist (breaks, lunch), as needed
Qualifications:
High School Diploma (or equivalent) and 2-3 years of related work experience
Must have outstanding interpersonal skills and an enthusiasm for helping others
Relationship-oriented, community-minded, nimble, and organized
Strong written communication and proofreading skills
Attention to detail
Strong candidates will have facility with Google Apps for Education (Google Drive, Calendar, Docs, Sheets, etc.), Microsoft Office (Word, PowerPoint, Excel, etc.), as well as familiarity with database management
A strong belief in the benefits of an all-girl education and an appreciation for a closely knit, mission and values-based community of academic excellence are also necessary
Position Hours and Other Information:
This staff position is a 10-month, full-time, hourly, benefits-eligible position.
An additional 13 days are required: 5 at the start of the school year, 5 at the end of the school year, and 3 throughout the summer
Normal hours of work are 7:30 a.m. to 4:00 p.m.
Some evening and/or weekend work may be required
Physical Demands:
The physical demands include being able to sit, talk, hear, stand, use hands to fingers, handle or feel, and reach hands and arms. The employee must occasionally lift and/or move up to 40 pounds. Specific vision abilities required for this job include close and distance vision.
